Administrative Assistant (Part-time)

Background

Reporting to the Executive Director, the Administrative Assistant is primarily responsible for administrative tasks to support the organization. The Administrative Assistant plays a critical role in both programming and fundraising, and by supporting the day to day operations of Apprentice Learning.

Responsibilities

Calendar management, purchasing and order tracking for program supplies, expense reporting, etc.
Provide overall administrative support for ED, including calendar management, scheduling meetings and teleconferences, and arranging travel
Perform assorted administrative tasks and miscellaneous errands as needed
Process expense reports, invoices, vendor check requests, and advanced authorization requests for special events
Assist with prospective applicant onboarding and new-hire support
Attach receipts and manage monthly reporting needs
Assist with mailings, newsletter, and other communications

Qualifications

Excellent calendar and time management skills, and the ability to manage complex operations in a fast-paced environment
Proficiency in Microsoft Office and Excel required
Executive-level interpersonal skills needed to interact with all levels of management and staff
Excellent organizational skills and the ability to prioritize multiple tasks
Professional demeanor, proactive, resourceful and efficient in all tasks
Must possess superior organizational and communication skills
Candidate must be able to take initiative, to work independently and as part of a team, to prioritize tasks and complete assignments with accuracy
Should have strong written and oral communication skills and be capable of preparing draft correspondence
Years experience required: 2 years

Qualifications And Requirements

Bachelor’s degree or equivalent experience.
2+ year of experience.
Work hours: The position is 9 to 5pm 3 days a week. Schedule can be amended monthly or weekly when there is evening or weekend work required.
