Job Summary

The Vice President of Shared Services (VPSS) reports directly to the CEO and is a member of the Clearwater Solutions (CWS) Executive Leadership Team (ELT) sharing collective responsibility to deliver the organization's vision, mission, and strategic goals. The VPSS serves as CWS’s senior shared service delivery officer responsible for: (1) Strategy and Business Transformation; (2) Communications and Marketing, (3) Information Technology; (4) Fleet and Facilities Management, and (5) project management oversight of Strategic Projects. The VPSS is responsible for the successful delivery to the business of the internal services outlined above (and further below) through the proactive management of the team of professionals reporting to the VPSS who have day-to-day responsibility for these functions.

Position Responsibilities

Organizational Leadership

Act as a key thought partner with the CEO and ELT members to implement processes for successful goals as laid out in the CWS Strategic Plan
Uphold, articulate, and maintain the core values of CWS through execution of its Mission and Vision
Monitor and promote organizational culture and values, supporting a positive work experience for all employees
Provide reports to the Executive Leadership Team and attend ELT meetings
Identify opportunities to cultivate leadership skills among the Shared Service team members

Strategy Leadership

Provide proactive leadership, direction, and professional expertise in helping to establish and manage the CWS Strategic Plan
Schedule and set the agenda for biannual offsite Strategy review sessions for the ELT
Establish and oversee the Strategic Plan Project tracker
Lead project management of Strategic Plan Projects, including project set-up, health tracking, and reporting to ELT
Oversee creation, distribution, and evaluation of Monthly Discussion Leader Guides and/or videos to build understanding and buy-in to the Strategic Plan and Company Values among Company employees

Marketing Leadership

Oversee implementation of CWS’s media and social media strategy
Oversee selection and management of corporate memberships in industry and trade associations, including trade show marketing presence
Oversee CWS digital and print marketing strategy, including digital ring fencing and online search optimization
Manage and optimize outside marketing firm services
Oversee proposal support for the CWS Business Development team
Direct development of marketing videos for employee and client recruitment
Oversee website improvements and content maintenance
Oversee marketing material selections
Monitor CWS’s brand reputation thru surveys, feedback, social media posts, and other forums; adjusts engagement strategy as necessary
Implement innovative methods for brand reach to enhance perception and strengthen the image of CWS in the communities where we operate

Communications

Organize and set agenda for Monthly Senior Leadership Team Meetings
Organize and set agenda for quarterly All Hands Meetings
Manage Monthly Operating Review preparation, including distributing first draft of deck for ELT inputs and review prior to end-of-month presentation
Oversee preparation and ELT review of Board meeting decks; responsible for sending final Board meeting materials to Board members
Keep and prepare minutes of Board meetings
Promote Safety Value through sustained Safety Campaign communications
Prepare and distribute Monthly CSWR Status Updates to CSWR client
Oversee CWS Tap (SharePoint site) content creation and maintenance
Provide strategic and tactical management for the planning, distribution, and tracking of integrated communication plans used to drive messages in all internal and external channels
Evaluate the impact and effectiveness of these integrated communication plans, adjusting to meet objectives as needed
Direct the planning and execution of crisis communications specific to CWS
Direct internal communication strategy to drive transparent, informative, and collaborative employee communications that ensure all CWS team members are educated, engaged, and informed
Shape and influence Company culture, communicating / embedding the corporate Vison, Mission, and Values to improve workplace engagement and employee relations
Oversee internal publications, such as the Weekly Flow e-newsletter, all-employee announcements, intranet posts, videos, and more
Develop business strategy / messaging to consistently and effectively communicate policy changes and directives established by the ELT

Facilities

Lead efforts to identify needs for build out and expansion, partnering with the ELT to align strategic goals and develop long term space planning objectives
Work closely with site leads and to assess and negotiate lease terms while maintaining constructive relationships with landlords
Proactively identify bottlenecks to company progress and work with stakeholders to identify options, drive decisions, and ensure appropriate resourcing of critical needs
Establish common practices across sites for workplace services, warehousing, and operations support

Information Technology

Collaborate with members of the ELT to identify ways IT can assist the company in achieving business and financial goals
Identify new information systems developments and technologies; anticipate resulting organizational modifications
Ensures that IT and network infrastructure adequately support the company’s computing, data processing, and communications needs
Develop and implement the annual IT budget
Establish long-term information security needs and plans and develops strategies for developing systems and acquiring software and hardware necessary to meet those needs.
Assist as top-level contact for end-users in determining information security requirements and/or solutions
Establish the strategic direction of the company’s information systems; execute this strategy in collaboration with the ELT
Direct and coordinate professional services such as systems analysis and design, feasibility studies, and programming of information, communication, and office automation systems
Identify and recommend new technologies and services that will improve efficiency, processes, and operations; review requests for additional services and upgrades, assessing the costs and benefits to the organization
Approve the purchase, rent, lease, license, or other acquisition of hardware, software, or services needed to meet company needs
Monitor and report progress on development projects, resource utilization, and production performance to executive leadership
Ensure the integrity and reliability of computerized information systems, communication systems, and office systems including the security of data acquired and stored
Maintain pace with technological progress, economic change, and company needs by directing continual improvements of IT staff, equipment, and procedures
Keep current with trends and issues in the IT industry, including current technologies and costs

Fleet Management

Develop and implement policies and procedures for fleet operations and maintenance
Manage the Company's fleet management program, including acquisition, leasing, utilization, registration, licensing, preventative maintenance, repair and replacement of vehicle and equipment fleet
Execute a focused fleet life cycle management strategy covering leased and non-leased assets to ensure fleet standardization and maximization of ROI of company fleet
Develop and manage systems and reports to ensure equipment utilization is maximized
Participate in the selection and approval of equipment to meet company needs
Manage the annual Request for Proposal negotiations with selected vendors and manage the purchase process for all leased and non-leased equipment
Provide cost-effective fleet management by identifying, evaluating and engaging rental and non-rental equipment supply vendors and service providers
Work with field fleet management company to maximize efficiency of invested capital across the company fleet

Position Qualifications

Bachelor’s degree in Business Administration, Communications, or other relevant field.
Ability to work under strict deadlines in a fast-paced environment.
Excellent oral, written, analytical and presentation skills are required in performance of this position
Excellent communications and interpersonal skills that make interactions with employees positive and professional
Team player who inspires the teams he/she leads

Knowledge, Skills or Abilities Preferred

Master of Business Administration preferred
Skilled at interpreting verbal and non-verbal messages that others communicate
Anticipates consequences of actions, potential problems, or opportunities for change
Strong analytical, problem-solving, customer service and decision-making skills
Proficiency in MS Office applications (Word, PowerPoint, Outlook, Excel)
Knowledge of SharePoint Project tools and Adobe Creative Cloud are preferred
