Location: Industry City, Brooklyn, NY (Hybrid – 60% in person and 40% remote)
Type: Part-Time (25 hours/week; occasional evenings/weekends)
Compensation: $20–$25/hour, depending on experience

Terry Knickerbocker Studio (TKS) is a renowned acting conservatory in Brooklyn, training passionate actors committed to excellence. We’re seeking a proactive and detail-oriented Operations Assistant to support the daily operations of our growing team. This role is ideal for someone who thrives in a fast-paced, arts-centered environment and enjoys managing logistics, systems, and community-centered tasks.
Schedule & Flexibility
This is a part-time hybrid role averaging 25 hours per week, with 50%-60% required in person. Some flexibility is required for studio events—up to 10 times per year, the Operations Assistant may be needed on evenings or weekends. During those event-heavy weeks, hours may increase up to 30 hours with advance notice.
Key Responsibilities
Student & Payment Management
- Run weekly tuition payments and manual charges through Authorize.net
- Monitor autopay and resolve failed transactions
- Follow up with students regarding declined payments via phone/email
- Send enrollment contracts and track returns
- Build and manage auto-billing schedules
- Set up and maintain student accounts in FileMaker
Faculty Support & Scheduling
- Track and organize faculty timesheets; send regular reminders
- Distribute and manage faculty evaluations; follow up to ensure completion
- Assist with academic scheduling and semester updates
Event Coordination & Support
- Help with the coordination and execution of key studio events, including: Orientations, Open Houses, Fundraising events, Graduation, Holiday Party, End-of-Summer Party, and other Community Events
- Assist with event setup, breakdown, logistics, and vendor coordination
Community Engagement & Communications
- Manage coordination for studio theatre outings
- Collect and compile student, faculty, and alumni performance news
- Draft the “Who’s Performing” section of the TKS newsletter with recent show listings
Operations & Studio Management
- Purchase studio snacks and supplies
- Coordinate and submit vendor payments as needed
- Maintain and monitor studio inventory (snacks, office supplies, cleaning materials, etc.)
- Manage and maintain receipts for studio petty cash
- Maintain the studio’s Google Drive
- Sort and archive studio media files (photos, videos, etc.) on Google Drive
- Provide general administrative assistance to the Director of Operations and Operations Coordinator as needed
- Answer phones and manage the front desk as needed, offering warm and professional support to students, faculty, and visitors
Qualifications
- Highly organized with strong attention to detail
- Excellent time management
- Excellent communication and follow-through
- Tech-savvy; familiar with CRMs, Google Suite, etc.
- Reliable and proactive with the ability to manage multiple responsibilities
- Prior experience in operations, administration, or arts education
- Customer service oriented
- Comfortable lifting/transporting supplies during studio runs
- Familiarity with acting, theatre, or arts education is a plus but not required
