Client Relations Assistant
Your primary responsibilities will be to help manage schedules, client documentation, and day-to-day administrative tasks with professionalism and care.
About the Role
The Client Relations Assistant is a key support role working closely with Monicat Data's Lead, ensuring timely client communication, marketing scheduling, team communications, and organizing the back-end of our Jira project workflows.
This is a part-time, remote-first role ideal for someone who excels at juggling multiple tasks with care, thrives in an independent and collaborative work environment, and aligns with our organizational values of friendliness, collaboration, transparency, and results.
Monicat offices out of The Coven St. Paul, MN, co-working offices, available for in-person team and client meetings.

Success Measures
Your success in this role will be demonstrated by your ability to:
Keep Monicat Data’s client communications running smoothly through effective administrative support
Proactively manage client and team calendars, task tracking, and communication flow
Ensure key client and internal deliverables are met on time through diligent follow-up and coordination through Jira review and management
Foster a professional, respectful, and efficient remote office environment
Day-to-Day Responsibilities
Ensure smooth flow of client relation tasks by:
Managing executive calendars, scheduling meetings, and preparing agendas
Taking accurate client meeting notes and tracking follow-up tasks using Jira (Atlassian)
Supporting marketing content creation within Canva pre-formats and scheduling within MailChimp, LinkedIn newsletter, and Vista Social
Maintaining internal documentation in the Monicat Shared Google Drive and Google Chat
Updating Mailchimp and CRM records (HubSpot), tracking outreach, and managing inbound client requests
Review client project proposals for errors / match Monicat proposal format
Support Monicat Data’s high standard of communication by:
Monitoring and organizing shared client folders and client contact channels
Drafting professional, friendly client emails and internal updates
Supporting the preparation of simple proposals, slide decks, and contracts
Required Experience & Skills
Associate or Bachelors Degree
3+ years of administrative, virtual assistant experience, project coordination, or operations experience (agency or creative services preferred) with strong written and verbal communication skills
Proficiency with Microsoft Office, Google Workspace, Google Chat, Canva, Vista Social, Zoom, and task/project tools like Jira (Atlassian) or Asana
Warm, proactive, and respectful approach to internal and external communication

Role Terms
This is a part-time contract role, estimated at 5–10 hours per week (may increase based on client demand), reporting to the CEO / Lead. The position is remote-first with flexible scheduling, though remote availability during standard business hours, 9 AM - 5 PM CST, is required for client meeting scheduling and coordination.
Hourly rate $35 - $45/hour
