We have an immediate need for a competent and resourceful Administrative Assistant who enjoys variety throughout the day. You may be the first person our residents see when they walk in the door, so a friendly and positive attitude, professionalism, and commitment to customer service are absolute musts for this position. You will need exceptional computer skills to create flyers and forms, maintain databases, and compile reports.
Responsibilities:
-Provide administrative support to Facilities Manager and Board of Directors.
-Assist with records organization, retention, and disposal.
-Handle incoming calls as back-up to Front Desk Monitor.
-Create, maintain, and enter information into databases.
-Assist with advertisement sales for monthly newsletter, track contracts.
-Verify insurance certificates and follow up to ensure continuous and proper coverage is in place.
-Greet residents and visitors.
-Help organize and maintain office common areas.
-Perform general office duties and errands.
-Maintain supply inventory.
-Create flyers and posters electronically.
-Maintain office equipment as needed.
Qualifications:
-Strong organizational, computer, and communication skills.
-Prior experience in office administration required.
-Proficient working with Microsoft Word, Excel, and Publisher and Adobe Acrobat.
-Excellent phone etiquette.
-Meticulous with ability to multitask.
-Ability to work well under limited supervision.
-Resourceful and critical thinking skills.
Previous experience:
Minimum five years’ office experience.
