Job Summary
The Harvard Department of Economics is one of the largest departments in the Faculty of Social Science, largely due to the large interest in its undergraduate and graduate programs. The Department has long tried to use scholarship to fight the world's most pressing problems, and its members -- faculty and students -- work on climate change and game theory, racial inequities and econometric methods, recessions and health insurance, gender norms and stock market crashes, political dysfunction and global poverty.
As a member of the Harvard Economics Department Administrative Operations (AdminOps) team, and reporting to the Associate Director of Administration, the Events & Communications Coordinator works to ensure the smooth coordination of internal and external department events as well as its communications activities. The incumbent will be a collegial and organized individual with savvy communication skills. They will be a key member of the AdminOps team, which is founded in the idea of strong teamwork and cross-functionality, to support the department’s non-financial administrative functions, including communications and events as well as physical and human resource management.
Position Description
Event Coordination
Associated Responsibilities Include
Responsible for planning, coordination, promotion and execution of department events. These events include internal events such as weekly catering for graduate student workshops, faculty meetings and lunches, department celebrations and team-building activities as well as larger-scale events like annual lectures, memorials, and faculty celebrations.
- Coordinating logistics, including food and beverage, space, AV and equipment needs, and material preparation
- Creating flyers/announcements/invitations
- Assisting with event program and content planning
- Monitoring event budgets and processes all financials for departmental approval
- Manages related vendor relationships, including with caterers, venues, hotels.
- Fields inquiries for department event (co)sponsorship.
- Provides logistical support for faculty memorials and faculty searches
Communications Coordination
Responsible for coordinating and executing the department’s internal and external communication activities. Related responsibilities include:
- Maintaining an engaging and professional department website
- Maintaining accurate departmental listservs
- Coordinating publication of departmental reports
- Preparing and sending weekly newsletter
- Overseeing department social media accounts
- Maintaining standardized and updated digital and printed building signage
- Representing department at FAS communications meetings.
Administrative Support
Activities Include, But Not Limited To
As part of the AdminOps team, the Events & Communications Coordinator will be asked to help with general administrative tasks that come to the front office environment.
- Fielding general inquiries from internal and external stakeholders
- Assisting with facilities management such as lockouts and work orders
Basic Qualifications
Three-years' relevant experience
Additional Qualifications And Skills
- Excellent organizational skills with ability to prioritize work in an environment with multiple and conflicting interests.
- Experience with project management a plus.
- Clear and efficient written communications across all levels of the organization, with excellent attention to detail and strong proofreading skills.
- Professional and courteous manner, eagerness to work collegially and flexibly with all levels of staff.
- Ability to work independently with minimal supervision.
- Ability to handle complex and confidential information with discretion.
- Technology proficient, including with MS Office and other collaborative technology.
- Experience with website management platforms and/or marketing platforms, and design tools a plus.
- Availability to work occasional overtime for events that fall outside regular business hours.
