Job Summary
entrepreneurship@UBC Okanagan (e@UBCO) provides programs and support to entrepreneurially minded students, faculty, alumni and staff who want to explore entrepreneurship, contribute to the UBCO innovation community, develop entrepreneurial capabilities, bring ideas out to the public and build ventures.
This position manages and engages the e@UBCO community including all communications, marketing and events, in compliance with relevant University and Departmental policies and related to e@UBCO programming, entrepreneurs, and relevant stakeholders as directed by the e@UBCO Program Manager. This role will be a primary contact for UBCO affiliated entrepreneurs recruited and active in e@UBCO programs. Overall, this position will oversee the e@UBCO brands and user experience.
Organizational Status
This position will report to the e@UBCO Program Manager within the Office of the Vice Principal, Research and Innovation at UBC’s Okanagan campus. This position will be based at UBC Okanagan Campus and UBCO’s Innovation Hub.
Work Performed
MARKETING & COMMUNICATIONS
- Manage internal and external promotion to generate interest and recruit for e@UBCO programs and events.
- Maintain e@UBCO social media channels to cultivate online networks and communities, including strategy development, content calendar, content creation, design, posting (and scheduling), setting engagement and growth goals, interacting and engaging with the community, etc.
- Ensure communication platforms reflect current information and program offerings
- Manage all e@UBCO marketing activities, including newsletter management, development, and distribution, websites, program materials, presentations, email campaigns, etc.
- Contribute to the development and management of e@UBCO graphics and brand based on UBC, VPRI and e@UBCO guidelines; maintain the collection of digital assets such as photos and videos to support related promotion and reporting.
- Work closely with VPRI Communications Manager on all program marketing initiatives to ensure alignment with VPRI strategic priorities and brand consistency and compliance.
EVENT PLANNING
- Work with the e@UBCO Program Manager to create an execution plan for events relating to e@UBCO programs and services in support of building an entrepreneurial community at UBCO, including with graduate and alumni ventures and entrepreneurs; ensure that event programming and promotion enhance and deliver the desired message and outcomes.
- Plan, organize and execute approved e@UBCO events and programming on and off-campus, including networking events, workshops, meetups, etc., executed in keeping with UBC protocol and brand standards.
- Plan, organize and execute all pre-and-post event logistics.
- Set up and manage event registration processes both online and at event, leveraging relevant software such as Eventbrite.
- Support in the development of detailed event plans and briefing documents including scope, format, design, budget, schedule and project team responsibilities; responsible for event execution and for activity and financial reporting post-event.
- Design and implement tools to promote, analyze and report on events; provide recommendations for future events.
- Consult with VPRI Communications & Events team on matters of protocol, event planning procedures, etc.
- Accountable for compliance with UBC policies related to all aspects of event coordination.
- Conduct surveys using tools such as Qualtrics and report on outcomes of events; Identify opportunities to increase audience attendance and engagement of e@UBCO events and programs.
- Design, build and maintain a calendar of all entrepreneur-related events on and off campus.
- Develop and implement a set of checklists and standards to ensure effective event planning and execution.
COMMUNITY MANAGEMENT
- Implement engagement strategy across e@UBCOs complex stakeholder community, including researchers, student groups, industry mentors, professional service providers, and key faculty members that support entrepreneurial campus initiatives.
- Research, recruit and assess potential venture participants for programs.
- Collect and manage relevant information and opportunities for the e@UBCO community such as events, funding opportunities, tools etc.
- Develop mechanisms for measuring e@UBCO user experience.
- Work with e@UBCO Program Manager to contribute towards strategies for increasing diversity and inclusion as an integral part of community engagement strategy.
- Support e@UBCO relationships, partners and sponsors by building a strategy to share, support, and engage with these stakeholders’ content while following relevant brand guidelines.
- Maintain ongoing awareness of University policies and practices, including use of University systems and technology.
- Develop and manage partnerships with faculty, departments, and student clubs on campus to promote programs and services for UBCO affiliated entrepreneurs.
- Maintain accurate records and program metrics for reporting purposes; Develop ad-hoc reports to the e@UBCO management team and relevant collaborators on venture engagement activities.
- This role conducts needs assessments and market research as required to support the development and assessment of corresponding program offerings for the e@UBCO community.
Consequence of Error/Judgement
This position works with a degree of independence and must exercise professionalism, tact and diplomacy in all interactions. This position is critical to developing and maintaining relationships and a public profile for the Office of Vice-Principal Research and Innovation. Error in performing duties or inappropriate disclosure of confidential information may adversely affect the reputation of Ventures, Students, Researchers, Faculty, Scholars and Associates, and the University. Situations or problems that would require exercising judgment include, for example, public events, development of communication materials and interactions with internal and external stakeholders.
This position is expected to make sound decisions and recommendations impacting the
VP Research & Innovation Office's relationships in the community. Errors in judgment or action could have a significant negative impact on the reputation of the University and its community partnerships; incorrect interpretation or communication of University positions, policy and procedures or lack of tact, diplomacy or sensitivity in dealing with stakeholders could potentially result in negative financial implications for UBC.
Supervision Received
This position will be supervised by e@UBCO’s Program Manager under the Innovation Manager’s portfolio. This position works under general direction, and is expected to resolve problems using initiative and judgement; work is reviewed for achievement of objectives, soundness of judgement, quality and effectiveness of results.
Supervision Given
This position may supervise student interns, co-op students or volunteers.
Minimum Qualifications
- Undergraduate degree in a relevant discipline
- Minimum of three years’ experience in marketing, event planning, community and relationship management, or an equivalent combination of education and experience
Preferred Qualifications
- Undergraduate degree in marketing, public relations, communications or journalism preferred
- Specialized training in community engagement, facilitation and/or project management would be an asset
- Ability and experience with social media platforms, their management, tools and strategy is required
- Experience in community development, management, and engagement
- Proven event planning/coordination experience
- Ability and experience with content management systems (WordPress)
- Demonstrated ability to implement and monitor digital performance metrics and other relevant tools (e.g. Qualtrics, Campaigner, Envoke, Eventbrite, Google Analytics)
- Proficient in Microsoft Office and familiar with the use of audience engagement platforms (e.g. Slido, Pigeonhole Live), databases/CRMs and project management tools, and presentation software (e.g. Keynote, Prezi, PowerPoint, Canva)
- Approachable, empathetic, service-oriented and open to learning about themselves and others. Demonstrates high levels of emotional intelligence combined with excellent adaptability and organizational skills.
