CATERING COORDINATOR Department: Food and Beverage Reports To: Senior Catering Manager Job Summary: The Catering Coordinator of Oak Hill Country Club supports the Catering Department with the planning and execution of Oak Hill's private events, Club functions, golf events and member events including weddings, corporate, social, and other member-related activities. The individual must have the ability to promote the Club's services and facilities and have practical knowledge of food and beverage operations. The Catering Coordinator works with all departments (especially the Culinary, Banquet, Bar, and Accounting Departments) to ensure that guests' special needs and expectations are always exceeded. The individual demonstrates appropriate analytical skills, attention to detail, organizational, and project management skills. They are a creative driver for innovation and are passionate about club management with the prospect for continuous advancement within the organization. The individual has a genuine care for people and must be able to work with all types of personalities in a diplomatic and pleasant manner while always maintaining a professional presence. Report to work at the scheduled time, neatly groomed and dressed in accordance with Oak Hill Country Club's appearance standards. Exceptional attention to detail. Exceptional communication abilities when interacting with associates, guests, clients, and internal departments to build relationships. Duties & Responsibilities: Performs administrative duties including but not limited to: Creating the Club's daily lineup card Updating, printing, and distributing Banquet Event Orders (BEOs), revisions, pop-ups, changelogs, and floorplans Placing weekly linen orders Creating and updating monthly calendars Creating place cards Developing specialty menus Updating the Catering & Wedding packets Facilitates Banquet Event Orders (BEO) for Grill Room back parties, bowling parties, pool parties, and Paddle Hut parties detailing all information discussed with members/sponsored guests and secures their signature. Shows members/sponsored guests through Oak Hill's facilities offering suggestions to promote the merits of the Club's facilities for their event. Procures outside services and equipment as dictated by each event at the request of the members/sponsored guests. Coordinates with Banquet & Restaurant Leadership to ensure all event requirements and objectives are accomplished. Inspects finished arrangements and is present at events to greet the members/sponsored guests. Works closely with Housemen on event floor plans. Updates the Housemen whiteboard with daily events and floorplans. Provides necessary follow-up to ensure members/sponsored guests' satisfaction and opportunities for future bookings. Develops relationships with and regularly reviews vendors to ensure Oak Hill is receiving quality services/products at a competitive price. Assists with managing client files and event record keeping. Assists the Catering Department with event billing. Attends weekly department meetings. Assists the Catering Department with developing pertinent content for the monthly member newsletter and member communications. Assists with the Department's marketing strategy to build banquet revenues. Servers as the Bridal Attendant for all Weddings. Works in conjunction with the Food & Beverage Department in the development and execution of Club events for the membership. Assists the Banquet Department as needed at events. Learns and becomes proficient with the Club's Northstar's catering software system. Additional duties as assigned by the Catering Department. Job Qualifications & Requirements: Education: High school or equivalent education required. Degree from a hotel, hospitality, or restaurant school/college preferred. Experience: A minimum of one to three years of service experience at a resort, club, or hospitality industry setting focusing on Food and Beverage services (Catering, Banquets, a la carte). Catering sales experience is a plus. Licenses & Certificates: Valid driver's license. Ability to obtain and/or maintain any government-required licenses, certificates, or permits. Physical Requirements: Must be able to continuously sit, stand and walk a minimum of 8 hours. Must be able to lift up to 30 pounds and perform strenuous work lifting. Must be able to bend, kneel, push, and pull over the course of a shift. All employees must maintain a neat, clean, and well-groomed appearance per Oak Hill's appearance standards. Will be required to perform job functions outdoors and be exposed to sun, heat, humidity, and other elements. Must be able to work a flexible shift that includes early mornings, nights, weekends, holidays, split shifts, and extended shifts. An average of 40 hours a week is expected, especially in busy season. Must be 18 years of age. Must have a reliable form of transportation to and from work.
