What you’ll be doing:
- Open & scan mail - confirmations
- Assisting with mass mailings of confirmations - helping to fold, postage, and prep for send off
- DocuSign back up
- Unclaimed property tax mailings
- Helps with schedules/calendars
- Maintaining the portal (coming soon)
- Chat bot needs maintained
- Booking of conference rooms
- Bringing in lunches orders & confirms - set up lunch / clean up lunches/ watch for delivery
- Quarterly newsletter (Power points, Word & Excel)
- Plans parties/events/meetings/activities/weekly lunches (ordering, set up, clean up)
- Assist OMP and other leaders with expense reports
- Help OA with receipts for purchases made
- Completing inventory & ordering of supplies
- Act as back up at the office when short staffed (vacations)
- Working with vendors and best practices for the onshore team
- Handles onshore equipment repair calls
- Ship items USPS and UPS including maintaining postage in the machine and updates (repairs)
- Key fobs- activates and deactivates key fobs for those coming into the office onshore group
- Inventory-stock fridge, snacks, etc.
- Greet visitors- UPS, drop offs, etc.
- Back up scanning work, typing, mass mailings, etc.
- Provides support for 7 advisory leaders of the firm (travel, expenses, calendars)
- Assist with Tax Admin tasks during peak filing periods
- Assist DPSG team - engagement letters as needed
Who we’re looking for:
- Bachelor’s degree preferred
- Three (3) or more years of administrative experience required
- Professional services firm experience preferred
- Intermediate level of proficiency in Microsoft Office Suite required (no advance knowledge needed)
- Ability to work in a deadline-driven environment and handle multiple projects/tasks with an attention to detail
- Advanced or expert in computer skills: Word, Excel, Outlook, & PowerPoint. Experience in Peoplesoft database recommended
- Excellent written and oral communication skills including superior grammar, spelling, and punctuation that enable the incumbent to work with top level management and other executive level clients
- Possesses superior customer service skills. Displays independent judgment, finesse, and diplomacy in all situations
- Consistently seeks to improve processes
- Excellent organizational skills and a meticulous attention to detail
- Capable of managing highly confidential information
- Ability to work well with all levels of management as well as outside external clients
- Team player who is willing to help out as needed
