The HR Coordinator will be our point person for running and supporting the day-to-day operations of the HR function and undertake a variety of HR administrative duties.
You will facilitate daily HR functions like keeping track of employees records and supporting the interview process.
Along with the HR team, the HR Coordinator will be critical in ensuring our processes, programs, and systems are running and executed seamlessly with flawless customer support top of mind. Beyond that, the HR Coordinator will serve as a cultural ambassador, supporting EBC’s hiring initiatives through supporting the Talent Manager with postings of positions in our ATS, flyers as needed and staff onboarding.
To be successful on this role the HR coordinator must be committed to accuracy, present their work and themselves in a professional manner, be efficient, exhibit outstanding communication, focus and strong data organization skills. The most successful candidates will have a proven track record of problem-solving, be able to work autonomously, enjoy a challenge, and be self-motivated. This role reports to the HR Supervisor and is responsible for supporting the full HR team.
Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.
Responsibilities
Human Resources Information System (HRIS):
- Ensure proper maintenance of employment files and other records personally in a detailed manner in the HRIS computer system
- Maintain our HRIS data integrity by processing new hires, promotions, terminations, and other changes and ensure all systems are accurate and up to date
- Maintenance of staff PTO balances
- Run daily, weekly and monthly reports from the HRMS system
- Responsible for termination of staff in the systems, lockers, benefits, files and collection of company property
HR Communications
- Serve as the first point of contact for EBC’s employees on inbound communications, replying to and escalating information promptly, handling employee requests such as nametags, etc.
- Support employee base with general questions, serve as the liaison connecting employees to the broader HR team and other internal teams when needed.
- Maintain and update all employee communications systems such as newsletter, bulletin boards, TV, website, Life at EBC, LinkedIn, flyers, etc.
Hiring and Onboarding
- Partner with hiring manager to post new positions internally and externally.
- Act as the first point of contact for new EBC employees by supporting their setup in the company HRIS systems.
- Responsible for employee onboarding compliance including I9s, E-Verify and certifications.
- Perform speed version of orientations and assists Talent and Recruitment Manager with standard new hire orientation class.
- Assists Recruitment and Talent Manager with screenings, reference checks, scheduling interviews and job fairs as needed.
Employee Recognition and Events
- Responsible for EBC’s Best and Leadership recognition programs
- Assist with planning and execution of all employee relations events
Daily Administration
- Distribute daily incoming and outgoing mail.
- Responsible for the maintenance of staff lockers
- Coordinates and advertises trainings such as CPR and other staff trainings
- Performs administrative skills such as typing, filing, copying and answering telephones and emails according to our company standards and in a in a timely manner
- Ordering of staff welcome gifts, wedding, bereavement, babies, etc.
- Monthly parking spots management
- Uses good judgment and maintain a high level of confidentiality and sensitivity
- Assist in ad-hoc HR projects, like collection of employee feedback
- Maintenance of HRIS system and dashboard compliance
- Ordering supplies for the HR team to include business cards for managers, thank you cards, etc.
- General maintenance and organization of the HR office and staff HR area to include legal posters, signage, etc.
- All other responsibilities assigned by the Human Resources Supervisor, Talent and Recruitment Manager or Director of HR
- Onsite 5 days per week (Monday to Friday)
- 40-50 hours per week
Requirements
- Experience working in hospitality or a with large amounts of non-exempt team members.
- Experience with HRIS management or working with similar systems
- Passion for customer service and working with processes and data
- Excellent communication and people skills with a high level of empathy, caring, and discretion.
- Strong organizational and time management skills
- Proven track record of able to keep deadlines
- Proficient with Microsoft
- One (1) or more years’ experience in related human resources positions
- Knowledge of employment-related laws and regulations
- Ability to manage and utilize HRIS systems
- Bachelor’s Degree or higher in Human Resources or Hospitality preferred
- Two years of experience in the service industry preferred
- HR Certification- PHR, SPHR preferred
- Bilingual – Spanish preferred
