Job Objective(s)
Assist and support the Community Manager in conducting duties and performing responsibilities related to managing multi-family properties.
Office Assistant Responsibilities
- Maintain a high level of customer service at all times.
- Schedule and write all resident memos and ensure they are delivered on time. Ensure the memo deliver to list is accurate at all times.
- Schedule and post on all social media outlets.
- Assist with the planning and preparation for resident events.
- Photographing resident and employee events for use on social media.
- Assist in creating, editing, and submitting the monthly newsletter.
- Prepare the move in packets for new residents. Create FOB’s and maintain the key list for Maintenance.
- Answer phones, resident relations, writing work orders, attending resident events, etc.
- Maintain renter’s insurance, including entering policy information, uploading copies, and resident communication regarding policy requirements and expiration.
- Maintain the Versa computer system (entry call box systems). Enter any new requests and delete the move outs.
- Maintain SKNET, the onsite FOB system. Troubleshoot, monitor resident FOB usage, program, and pull reports.
- Review and pull camera footage when needed. Coordinate with residents and police as needed.
- Audit the storage/bike permit list and remove any residents that have moved out in the prior month.
- Audit the package list and ensure it is always accurate.
- Manage the issue and return of guest FOBs.
- Accurately file documents in the resident files.

Office Assistant Qualifications
- Minimum two (2) years' experience in Property Management required
- High School Diploma or equivalent required; some college preferred.
- Working knowledge of Microsoft applications Word, Outlook and Excel.
