The Special Events and Media Coordinator maintains a strong community presence for the Norma Pfriem Breast Center (NPBC) by following the vision set by the NPBC Executive Director and President of the NPBC President's Council. Responsibilities include coordinating volunteer and fundraising events under their direction. Assists with solicitation of corporate sponsorships; provides education about the NPBC and Bridgeport Hospital; and conducts outreach in the community and to other non-profits. Working closely with the Program Supervisor, Executive Director of NPBC and the VP of Development, Manager of Development, Community Outreach and Fundraising Coordinator and President of the NPBC President's Council to increase individual, foundation and corporate gift support and attain the philanthropy necessary to advance the NPBC's and Bridgeport Hospital's mission; specifically with regard to Psychiatry and Oncology/Smilow. Works in alignment with Bridgeport Hospital Foundation guidelines for best fundraising practice. Must demonstrate effective communication, a positive attitude and promote growth of the NPBC, the Psychiatry Dept as needed and the Oncology programs (outpatient) through achievement of its outreach and philanthropy objectives. - Identify and cultivate public and private funding sources with identified needs of the Norma Phriem Breast Center. Increase local sponsor recruitment and retention as well as identify and implement plans to engage other regional and corporate sponsors.
- Solicit input of clinical and other administrative/secretarial staff in developing and implementing fundraising opportunities and collateral materials, e.g. bi-annual newsletter, online fundraising opportunities and related content in conjunction with Bridgeport Hospital Foundation systems, resources and processes. Use outreach activities to increase participation in fundraising and awareness of the NPBC and to attract new President's Council members and/or Advisory Board members.
- Manage key special events and tracking and reporting system for events and online campaigns within Bridgeport Hospital Foundation operational guidelines. Prepares ongoing status reports as required by volunteer leadership and Executive Director.
- With the guidance of the Executive Director implement strategic plans to increase year-over-year revenue and identify and engage new leadership to insure sustainability.
- Oversee on-site logistics on event day. Empower event staff by providing guidelines, training, and direction, event expertise, and event volunteer leaders.
- Market events and programs to targeted sponsors, Breast Care Center members and the public-at-large, as well as to highlight NPBC information in stories and collaborations with communications.
- Draft routine and complex correspondence to various constituents throughout the community and work with a database to coordinate training programs pertaining to event staff, and to insure all programs have effective systems for oversight, event reporting and analysis of the program.
- Maintain files on events, assists with newsletter, website, etc., as requested by the Executive Director.
- Participates in reuqests for proposed fundraising from potential funders and assist the grant writer as needed.
- Oversight and management of President's Council with Advisory Board Chair and Executive Director and to maintain terms and number of appropriate persons.
- Implement, execute, evaluate and revise as needed on-goning community outreach strategies, in a year round team recruitment and cultivation program.
- Recruit volunteers and provide support to volunteer planning committees.
- Develop proposals for event related marketing and public relations.
- Develop innovative methods for the region to maximize its income and ancillary fundraising activities at events and additional fundraising opportunities.
- Performs additional duties as required and meet income goals for events and special initiatives.
- Develop fundraising program for summer intern and manage and supervise the intern and activities. Qualifications EDUCATION Bachelor's degree EXPERIENCE Minimum of 6 to 8 years of demonstrated event planning experience. Experience with coordinating event logistics working with volunteers, prospective donors, and management of large-scale fundraising event in a non-profit organization. Experience with securing corporate sponsorship and stewardship opportunities with existing sponsors. SPECIAL SKILLS Exceptional interpersonal verbal and written communication skills. Strong leadership and management skills, and effective working relationships with funders sufficient to achieve development goals and objectives. Must be highly organized, detail oriented and able to handle multiple projects simultaneously in a fast paced environment. Positive, dynamic personality; able to motivate and interact with all levels of donors and professionals. Ability to initiate successful contact with prospective funders. Ability to analyze, evaluate and provide online data, understand, develop and monitor budgets. Proficient in online opportunities and strong working knowledge of relational databases.
