Job Summary: This position will be responsible for supporting senior proposal specialists in developing, editing, and producing large, complex proposals, as well as standardized proposal content and templates. The role will require effective collaboration with technical and cross-organizational staff to assemble compliant, up-to-date supporting documentation for proposals. Duties include coordination of multiple stakeholders, administrative tasks associated with proposal production, writing, editing, and supporting production of documents ranging from proposals to technical publications to internal communications.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Works directly with Director of Marketing Communications, as well as Business Segment Owners and Senior Proposal Specialists to provide proposal coordination and support to ensure timely and compliant responses to RFIs/RFQs/RFPs.
- Reviews incoming RFIs/RFQs/RFPs to identify requirements, timelines, and specifications to provide cross-organizational teams supporting development of responses.
- Provides templates and general company information required in the response and requests technical inputs from subject matter experts.
- Schedules, tracks, and helps prioritize tasks to be completed during proposal development.
- Helps coordinate cross-organizational teams of subject-matter experts to ensure timely responses and adherence to RFI/RFQ/RFP timelines and requirements.
- Proofreads and reviews documents for accuracy and consistency.
- Owns proposal intake, logging, tracking, and close out process, including maintaining calendar of fluctuating due dates.
- Provides support in assembling presentations, primarily in PowerPoint.
- Supports internal communications, including the company newsletter, SharePoint sites, and other internal messaging as needed.
- Supports external communications, as needed, including social media.
- Provides other communications and/or documentation support as required.
- Minimal travel - only as needed for training, occasionally for ad hoc marketing needs (less than 10%)
Education: Bachelor's degree in English, communications, marketing, or related field, or equivalent experience.
Required Skills & Experience:
- 3+ years of related experience.
- Advanced experience with Microsoft 365 (Word, PowerPoint, Excel, Outlook, SharePoint, Teams) and Adobe Acrobat.
- Desired experience with RFPIO (or other proposal management/content management software)
