Job Summary
VIZ Media is the leading publisher of English-language manga from One Piece to My Hero Academia, with other business lines in anime distribution, consumer products licensing, and Japanese entertainment. VIZ is looking for an HR Coordinator to join our small but mighty HR department and help us continue to foster a welcoming, inclusive, and happy workplace.
The HR Coordinator will assist with administrative tasks related to recruiting, onboarding and offboarding, employee inquiries, and other HR functions as needed. This is an entry-level role with training available for candidates without previous HR or recruiting experience. The ideal candidate is a detail-oriented, highly organized person who looks forward to making a real difference in people’s day to day experience at work!
What you’ll do:
- Assist with the recruitment process by maintaining the ATS, reviewing resumes, managing candidate communications, and scheduling and coordinating interviews.
- Execute new employee onboarding including coordinating the background check process, preparing new hire packets and welcome gifts, conducting new hire orientations, and ensuring new hires complete required onboarding paperwork and tasks in a timely manner.
- Assist with the termination process ensuring that all paperwork, final paycheck, and other responsibilities related to terminations are completed in a timely manner.
- Maintain and update data within the company’s HRIS system and help produce data reports ensuring a high level of accuracy.
- Manage HR ticketing queue by answering employee inquiries in a timely manner or escalating to the appropriate person.
- Draft internal communications including company announcements, HR updates, monthly newsletter, and information about employee programs.
- Update HR social channels and engage community by highlighting company culture, events, and job opportunities.
- Assist with HR admin duties such as benefits invoicing, monthly expense reporting, file maintenance, etc. and serve as a back-up for other HR functions as needed
The ideal candidate has:
- 0-1 year of experience in an administrative business role (including internships) with relevant responsibilities in HR, recruiting, employee engagement/culture, etc.
- Strong interpersonal and communication skills with good customer service
- Excellent organizational skills with a focus on balancing multiple projects, consistent follow-up, and process improvement
- Ability to write clear, concise business communications
- Ability to handle data with confidentiality
- High proficiency with Google Suite and Microsoft Office
Additional Preferred Experience:
- Prior experience with recruiting platforms (ATS) such as Jobvite, Greenhouse, Lever, etc.
- Prior experience with HRIS systems, particularly ADP Workforce Now
- Fan of manga/anime - nice to have!
Work Environment & Schedule
Location: The HR Coordinator must be local to the San Francisco Bay Area. VIZ Media operates on a hybrid schedule, and the HR Coordinator should plan to work onsite on average 2 days a week as well as when needed for employee onboarding, company events, and other relevant activities.
Schedule: This is a Regular Full-Time (40 hours/week) position with flexibility in schedule outside of our core hours of 10:00 am - 4:00 pm. The HR Coordinator may occasionally need to work late or on weekends during company events.
Compensation: $29.00-$33.50 per hour, depending on experience, with additional variable compensation
