Administrative Assistant's Job Duties at NTI
The Administrative Assistant should have a skill set capable of performing the following.
Proposals - (Google Suite) Administrative Assistant's first priority over all else. The Administrative Assistant will work closely with the Business Development Director to respond to RFPs, capturing all data sent as part of an RFP package, then provide draft level proposals, including any marketing materials requested/needed. The Administrative Assistant will also provide Additional Services proposals and revisions to outstanding proposals, as needed.
The following responsibilities are in general priority order, although may vary.
Administrative - (spreadsheet, accounting system familiarity) Required routine tasks Complete the Booking process in Omni, then Spectrum Update Project Overview Sheet, Commission Sheet, PM Master Billing Sheet, Timesheets & order office supplies, as necessary Check the mail / send out mail (infrequently) Annually (start in September) Get the Christmas list completed by checking with each Principal to confirm/add new names. Assist the Business Development Director verify costs are within the designated budget. Order and send out Christmas cards and candy by 1st week of December.
Accounting - (knowledge of collections helpful) Enter new projects and send reminder emails regarding invoices. Verify information - contact, project #, and other issues preventing payment of invoice.
Marketing Create and/or update marketing brochures, employee resumes, as needed. One hour weekly meeting with ASD Marketing Manager addressing efforts that arise from that call.
Website Add new project profiles per industry as time allows Research and develop article outlines based on SEO best practices News posts as we have them, and in conjunction with Linked In Activity Assistance with website maintenance.
Newsletter (MailerLite) /
Social Media (LinkIn) Work with the Business Development Director to create/send out quarterly newsletter. Assist with posting on a 2 week cycle, or as frequently (or better)
