Reporting to Executive Director, Gift Planning, the Project Analyst provides critical project management and administrative support to Princeton’s Office of Gift Planning and manages the unit’s integral trust and estates administration. This individual maximizes the productivity of the entire Gift Planning Office and is a critical first point of contact for executors, donors, campus partners in the Office of the General Counsel and Finance and Treasury, alumni and volunteers. This individual handles confidential correspondence and gift information including information related to bequests and other gift planning instruments.
Trust and Estate Administration:
The incumbent will serve as a key point of contact for external and internal constituencies in his/her role managing the University’s trust and estates administration.
- Work directly with donors, executors, trust officers, and colleagues in the Office of the General Counsel and the Office of Finance and Treasury in the settlement of realized bequests.
- Interact and address issues with University clients and parties outside of the University, and be required to produce time-sensitive materials with the highest degree of professionalism, ensuring their accuracy, timeliness, and responsiveness to attorney and University client needs.
Gift Planning Communications and 1746 Society Management:
The Project Analyst will also serve as project manager for Gift Planning marketing and stewardship efforts liaising with colleagues in Advancement Communication, Annual Giving, Events, and Donor Relations to drive frequent effective communications to general audiences. The Project Analyst supports the frontline staff members of the Gift Planning Office in all aspects of the extensive marketing and stewardship programs, including production of the Generations newsletter, a complex direct mail program, the biannual Class Chair letters, and ads in the Princeton Alumni Weekly.
- Troubleshoot and handle inquiries courteously and to the donor’s satisfaction
- Track marketing responses and coordinate with Advancement Communications on the website for Gift Planning, and manage all aspects of the 1746 Society donor recognition program
- Coordinate with the Events team to organize several events such as the Annual Luncheon, 1746 Society Receptions, Reunions and Faculty estate planning seminars and webinars
- Leverage tracking/response data to inform new marketing initiatives
- Coordinates with office support staff on completion of welcome packets, sympathy letters and other correspondence related to 1746 gift society
- Enters and tracks information in the CRM related to 1746 gift society membership program
- Enters and tracks information related to proposals, appeals and bequest intentions
Complex Tasks, Key Decision-Making, Special Demands:
- Assist in preparing complex gift proposals by using specialized PG Calc software to generate the financial implications of planned gifts
- Provide working drafts of gift allocation agreements and other business memos for review; process gifts received, including stock valuations, Campaign crediting, gift purposes, and other detailed information
- Trouble-shoot reporting errors and inconsistencies
- Develop trust and estates processes to streamline, expedite, and increase productivity (reduce manual processes and better leverage technology available, i.e., CRM, Stripes, Tableau, Custom Query, SharePoint, MS Office)
- Ensure compliance while reducing duplication of tasks by working with campus partners, including Office of the General Counsel, Asset Administration, Donor Records, Analytics & Data Management
- Provide consistent, accurate training to Administrative support team
- Leverage tracking/response data to inform new marketing initiatives
- Leverage a deep understanding of Stripes and the data elements available
- Deep knowledge of planned gifts and ability to handle donor inquiries, complaints, problems accurately, courteously, and to the donor’s satisfaction
- Coordinates data entry of mass entries, proposals, bequests to ensure accuracy in reports and dashboards and to meet deadlines; conducts periodic audits and troubleshoots data entry, process, and system issues; in this capacity liaises with Analytics & Data Management
- Drafts, proofreads, edits and finalizes customized correspondence, including proposals, gift agreements, allocation agreements, presentations, and reports for distribution to donors, volunteers, and staff
- Bachelor’s degree or equivalent experience
- Three to four years related experience, preferably working in a fast-paced office for one or more managers
- Excellent interpersonal skills and a high degree of professionalism, working to high standards representative of Princeton’s commitment to excellence.
- Independent judgment in dealing with a wide range of individuals, including alumni donors, volunteer leaders, professional advisors (attorneys, trust officers), vendors, and University staff such as the offices of the Treasurer, General Counsel, and other internal development groups
- Highly organized and capable of managing multiple projects
- Strong proficiency in data processing, analysis, reporting, and the Microsoft Office Suite
- Strong written and oral communications skills and commitment to data and information confidentiality
- High level of proficiency in the Microsoft Office suite of applications; ability to conduct basic web research

Preferred Qualifications:
- Gift Planning, law firm, financial services, or trust administration experience
- Advanced knowledge of specific Gift Planning tools and reporting
- Prior experience with databases, reporting and dashboard tools
