About the Opportunity
The Administrative Officer reports directly to the Department Chair and oversees the daily operations, management, and direction of operational aspects of the Department of Communication Sciences. This position is responsible for management of the operating budget, human resources, and financial activities of the department. This position will work with the Department Chair on curricular and departmental initiatives. This position also supports the budget, and office needs for the faculty, staff and researchers of the Department.The position will work to ensure overall effectiveness in the areas of business administration and support to the chair.

Required Qualifications
- Bachelor's degree required.
- Two to five years relevant experience, preferably in higher education or a non-profit setting

- Excellent (written and oral) communication and interpersonal skills; demonstrated ability to work with colleagues, in a collaborative environment.
- Experience/familiarity with an academic environment and related systems, policies, and procedures
- Proven customer service skills with an empathic, ready-to-adapt mindset
- Ability to use sound judgement, diplomacy and professionalism while working under minimal supervision in a forward-facing work environment of conflicting priorities.
- Advanced computer literacy ( in MS Office, Adobe: Acrobat, InDesign, Photoshop) and be motivated to learn and flexible to shift to other software as necessary ( Survey Monkey, Paperless Post, Wordpress, Canva, etc)
This position will be based on our Boston, MA campus and requires a minimum of 2-3 days of on campus presence.
Key Responsibilities & Accountabilities
OFFICE MANAGEMENT 25%
- Serve as first point of contact for office visitors, students, and faculty
- Perform basic office tasks (making photocopies, sending emails, track and order office supplies, assist faculty, submit facilities and IT work orders, etc.)
- Implement department policies and procedures (conference room schedule, make-up exams, etc.)
- Manage the department's public spaces (Lake Hall 212a (main office), Lake Hall 206 (large conference room), and Holmes 202, 202a. (mail and photocopy rooms)
- Maintain the department's office equipment (copying machines, scanners, etc)
MARKETING/COMMUNICATIONS 25%
- Organize and distribute Major Mail (once a week) and periodic Registration Updates during the academic year
- Maintain and update brochures, handouts, bulletin boards and display cases.
- Create and distribute posters for classes, lectures, and special events
- Serve as webmaster and as liaison with College of Arts, Media and Design (web development, social networking, public relations)
- Answer inquiries and email (commstudies@neu.edu and mscr@neu.edu) directed to the department
- Work with chair to curate information and prepare monthly faculty newsletter
- Serve as contact for student advisory board and other student groups
EVENT PLANNING 20%
- Plan faculty and student engagement events
- Plan the Communication Studies Honors Dinner (April); responsibilities include sending invitations (for students and faculty), making arrangements with food services, preparing the program, and coordinating the presentation of awards.
- Plan the Senior Celebration (April); responsibilities include sending invitations (for students and faculty), making arrangements with food services, and coordinating the presentation of awards
- Organize meetings and special events as required
- Coordinate staffing for orientation, fall open houses, spring welcome days, and admitted student events
- Work closely with college marketing and communications team to coordinate and promote events
FISCAL MANAGEMENT 15%
- Cross train on the administrative and financial systems necessary to perform academic and financial administration the Communication Studies Department and the Media and Screen Studies Program
- Process expense reimbursements and track faculty development funds for all full-time faculty as needed
- Provide training to faculty on tools such as Concur, Workday, and Banner
- Oversee onboarding of new faculty and staff by providing necessary equipment, and access
SUPERVISION OF WORK STUDY STUDENTS 10%
- Maintains office staff by recruiting, selecting, orienting, and training work-study students.
- Provide primary supervision for all student workers.
- Available for secondary supervision at department events.
OTHER DUTIES AS REQUIRED 5%
Adapt with flexibility as priorities within the College evolve, taking on additional responsibilities as requested.
