About Us
The Georgia State University/Georgia Institute of Technology/Emory University Center for Translational Research in Neuroimaging and Data Science (TReNDS) is focused on developing advanced analytic approaches and neuroinformatics tools that leverage brain imaging data, with a goal of translating these approaches into biomarkers that help solve issues related to brain health and disease. Large-scale data sharing and multimodal data fusion techniques are the underpinnings of our approach. We develop state-of-the-art signal processing and web-based solutions to further this goal.
About The Team
The TReNDS Operations Team manages the financial, administrative, and logistical support for the Center and the various members. The team is responsible for supporting researchers who are using novel approaches in neuroimaging and data science to better understand mental illness and other neurological disease onset, detection, and prevention. The team's goal is to provide accurate, efficient, and consistent support to allow the researchers to focus on their science.
About The Role
The Administrative Specialist will play a key role in supporting the operation of a large University Research Center. The person will be tasked with a variety of administrative support duties, which require the person in the role to be efficient and detail oriented. They will be responsible for coordinating the front desk and reception/hospitality for Center members and guests. They will be the primary processor for all payments, reimbursements, and travel and must be able to navigate various websites and processes to perform conference registrations. The person in this position must be motivated and will have the opportunity to grow their skills and advance to new roles within the Center.
Job Duties And Responsibilities
- Provides administrative support performing duties such as composing letters/reports, scheduling meetings and events, receiving and directing calls and visitors, and other related duties.
- Processes payments, reimbursements, and travel requests. Tracks submitted requests and resolve any issues related to the payments.
- Distribute Center's weekly newsletter and manage mailing lists. Assists with managing the Center's meeting room reservations.
- Plans special events, such as conferences and ceremonies, and schedules/coordinates meetings or room reservations.
- Orders and distributes office supplies as needed and maintains inventory. Maintains the reception areas and break room.
- Assists with requests for facilities, property control, and telecommunications within and outside the University.
- Assists the Director, Center Management, and faculty with administrative and financial processes and special projects.
- Performs coverage of front desk when necessary.
- Performs other related duties as assigned.
Knowledge, Skills And Abilities
- Knowledge of various software and information systems, such as MS Word, MS Excel, etc.
- Knowledge of University rules, policies, and procedures.
- Effective time management and organizational skills.
- Effective oral, written, and interpersonal communication skills.
- Ability to plan, develop and analyze work procedures.
Bachelor's degree and two years administrative experience; or high school diploma or GED and six years administrative experience; or a combination of education and related experience.
