Administrative Associate - Remote | WFH

We are seeking an enthusiastic and proactive Administrative Associate for Research Animal Resources to join our dynamic team. You will play a pivotal part in ensuring the smooth progress of various projects and initiatives within the department. You will have the opportunity to make a significant impact by contributing to administrative and operational excellence.

Responsibilities

Project and Initiative Support (60%)

Design and implement efficient administrative and operational workflows for assigned projects and initiatives.

Collaborate with cross-functional teams to establish meeting schedules, engage relevant stakeholders, and create Gantt charts/project schedules.

Track milestones, prompt for timely completion, and manage essential project documentation.

Gather, compile, and analyze data for projects, providing insightful recommendations based on data insights.

Implement methods to ensure successful project completion and adherence to timelines.

Triage and address emergent issues, escalating as necessary.

Support leadership activities and develop tools to enhance their effectiveness.

Efficiently manage conflicting deadlines.

Stakeholder and Department Communications (25%)

Draft clear and concise project communications, partnering with the Deputy Chief of Staff on dissemination strategies.

Collaborate with external partners as needed, ensuring alignment with expectations and timelines.

Prepare summaries and progress reports to keep leadership and stakeholders well informed.

Contribute to the creation of the departmental newsletter, working with internal and external stakeholders to craft engaging content.

Department Administrative Support (10%)

Coordinate meeting logistics, distribute agendas, and handle tech needs for both regular and ad hoc meetings.

Organize catering and logistics for seminars and meetings.

Assist with conference and travel arrangements as requested by senior leadership.

Time Management/Calendaring for Director (5%)

Effectively manage the schedule of the Director, ensuring optimal time management.

Qualifications

Required:

Bachelor's degree or equivalent combination of education and work experience.

Proven track record of successful project or initiative management.

Excellent verbal and written communication skills.

Strong interpersonal skills, fostering collaboration with diverse audiences.

Proficiency in Microsoft and Google suites, with a willingness to learn new systems.

Exceptional organizational skills, particularly in a fast-paced environment.

Ability to work autonomously, meet deadlines, and manage multiple projects.

Discretion, integrity, and commitment to confidentiality.

Self-motivated, goal-oriented, and deadline-conscious.

Demonstrated experience handling diverse administrative tasks with professionalism.

Preferred

Experience in higher education administration.

Prior support of executive-level leaders.

Familiarity with project management software.

Proficiency in web conferencing tools (e.g., Zoom, Google Meet).

Experience with event coordination.

Adaptability to new technologies and processes.
