Job Responsibilities
Job Summary
Provides confidential administrative support for the Department of Genetics and Biochemistry (G&B) staff, faculty, and committees. G&B support includes EPIC and the Center for Human Genetics, as requested. Responsible for operations of the front desk/main office area. Provides administrative support and secondary backup as needed to the Administrative Coordinator I. Other duties as assigned.
Job Duties
30% - Essential - Administrative Support: Prepares confidential correspondence, reports and maintains files as requested. A liaison for Genetics and Biochemistry to the College of Science communications team. Collaborates with G&B administrative staff, faculty, students, and other units to ensure ongoing communication. Moderator for dept. 0318 listserv communications and disseminates emails. Assists with office supply purchasing and printing services for Faculty and Staff as needed. Secondary administrative support and backup to office manager.
30% - Essential - Other Administrative Support: coordinates all visitors and seminar speakers' travel, including obtaining financial approvals, updating records, accommodations, meeting room reservations, and meals. Creates and disseminates seminar fliers to the listserv and CU Online calendar and posts on bulletin board(s). Assists with G&B recruitment efforts and sets up travel accommodations and dining reservations. Create and disseminates all visitor itineraries. Maintains the department introduction and announcement presentation and updates the Marcotte award plaque.
20% - Essential - Front desk/Main Office: greets and assists visitors with navigating the buildings and campus. Answers incoming calls to the department and assists or relays messages to the appropriate recipient. Receives general department emails and distributes them to proper recipients. Sorts and distributes mail/package(s), including delivery. Submits requests for facility repairs. Manages regalia and electronic device sign-out logs. Purchases visitor parking and IPTAY football parking passes, distributes them and maintains the registers.
20% - Essential - Other Projects: Provide updates to the G&B website and CU calendar. Responsible for relevant posting to the G&B social media sites. Gathers and generates department information for the G&B newsletter and creates draft and final submissions. Develops and disseminates the President/Dean letters in the spring and fall semesters. Collaborates with the Office Manager to plan and execute special events. Updates G&B directories, listservs, and bulletin boards.
Minimum And Additional Requirements
Education - High School or Equivalent
Work Experience - directly related to area of employment
A bachelor's degree may be substituted for the related work experience.
Preferred Qualifications
Work Experience 3+ years Administrative Assistant / direct work experience supporting low/middle management.
