Position Summary
The Christian and Missionary Alliance (C&MA) is seeking an experienced Executive Assistant. This is a full-time position located in Reynoldsburg, Ohio. This position works under the direction of the vice president for Alliance Missions and is responsible for executive support. In the performance of these duties, this position will support the overall mission of the C&MA as described below.
Specific Duties
- Serves the vice president for Alliance Missions (AM) by providing high-level administrative support, utilizing extensive knowledge of AM structure, strategy, policies, and procedures
- Analyzes and compiles information needed for response, and, when needed, drafts reply for executive review and signature; disseminates messaging from the vice president acting as signatory when authorized to do so
- Maintains sensitive and confidential communications regarding international worker disciplinary matters; prepares related reports for PC and Board meetings
- Coordinates and maintains vice president’s schedule, appointments, speaking engagements, and travel accommodations (including flights and ground travel)
- Represents AM and its interests to National Office staff, field personnel, missions leaders, and ministry supporters
- Coordinates the purchases of supplies needed for staff to maintain workflow
- Maintains confidential records and ensures that security and confidentiality protocols are established and maintained
- Receives and distributes AM phone and email communications; discerns nature and priority of messaging
- Plans, schedules, and organizes AM leadership meetings, including but not limited to LEAD, DIRECT, and the Global Leadership Conference
- Initiates interactions with regional leadership couples and other field leaders regarding priority initiatives from the vice president
- Coordinates AM-based gatherings and events, securing venues, accommodations, attendee travel, and catering as needed; works closely with National Office Events Team to ensure event needs are understood and met
- Prepares and formats AM reports and addendums, including but not limited to Board and PC meetings
- Approves AM time sheets/ time-off requests in Paylocity; enters and monitors time-off balances for AM administrators
- Compiles information for performance coaching/assessments for the VP and other AM leaders as needed
- Compiles, designs, edits, and distributes monthly AM Connect Newsletter; solicits content from various contributors to provide timely and relevant updates for IWs and other recipients
- Serves as AM HR representative to effectively communicate HR policies, initiatives, and updates; assists with the Applicant Tracking System (ATS); schedules Clear Company interviews and maintains hiring process documentation
- Monitors AM vice president’s budget
- Manages the AM Family Facebook page, monitoring content and user posts

Requirements
- High school diploma or equivalent
- 1–2 years college preferred, usually in a specialized area such as accounting, secretarial skills, computer programming or software
- 3–5 years of experience in a similar job required in order to develop efficiency or to obtain some background of helpful precedents and principles
