- Description:*
- Main responsibility is to act as the Principal's right hand ensuring the office runs smoothly
- Administrative duties include: typing all correspondence to clients and prospects (thank you letters, referral letters, birthday letters, and Branch Manager organizations), answering phones, account opening and money movement for clients, monthly newsletter mailings and emails, assist with monthly billing (type letters and invoices), scan all documents, review any upcoming bills and check for accuracy, check deposits, maintain deposit folder and shred after expiration, and client access support
- Will also be responsible for compliance sections of the business - this includes: make sure all licenses are current, NASD renewal done annually, employee handbook is reviewed and updated semi-annually, review and update policies and procedures manual, review and update code of ethics manual, conduct annual anti-money laundering review, conduct annual privacy notice review, document retention
- Qualifications:* MUST HAVE
- 2-5+ years of Office Management/Client Service Associate experience in a financial services organization (ideally investment firms)
- Previous experience managing other employees (i.e. Receptionist, Office Manager, etc.)
- Someone who has the ability to take control of an office and make it better (need this person to have a high level of confidence and carry themselves within a room)
- Someone who has the ability to work with different types of personalities
- Strong MS Office skills (Excel, Word, PowerPoint)
- Someone who has the ability to immediately build relationships and trust with others (empathetic and compassionate are extremely important)
- Strong organizational and time management skills
- Not afraid to speak up and give advice/recommendations to the business
NICE TO HAVE
- Previous experience in the financial services/investment space
- Knowledge of investments and the terminology in the industry
- Previously worked for a smaller organization (i.e. 10 or less people)
