Job Summary
The Office Manager is a role where the individual will be responsible for ensuring the smooth operations of the headquarter office, organizing, and coordinating the office administration function, with a strong focus on organizational effectiveness, efficiency and safety. Along with office management, this individual will be responsible for providing administrative & departmental support, as needed.
This position will report directly to the Director of People, and serves as the primary point of contact for internal staff and external visitors. A successful candidate will be organized, proactive, flexible and can support an office of diverse individuals.
This is a full-time position that is on-site at our Denver office. The hours are 8:30a-5:00p Monday through Friday. This position is an hourly position that is overtime eligible.
Responsibilities and Duties
- Serves as the focal point for all internal and external guests of the Denver Headquarter Office during business hours
- Point person for maintenance, mailing, shipping, supply orders, equipment management, receiving office invoices, and general errands
- Works with Department Leaders on special assignments, this may include the following: taking notes for meetings, training, and conducting department specific tasks and assisting, delivering/pick-up samples, as needed
- Jumping in to assist departments that may need help with special projects
- Provide support to employees, including responding to inquiries, resolving administrative problems, and assisting with day-to-day needs
- Completes projects and special assignments by establishing objectives, determining priorities, gaining cooperation of others, monitoring progress, problem solving, and making adjustments to the plan
- Coordinates with IT Contractors on all office equipment and software matters
- Manages relationships with vendors, service providers, and landlord; manage contracts and price negotiations with office vendors and service providers
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and supply requisitions are reviewed
- Remains up to date on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals and reviewing of industry publications
- Participates actively in the planning and execution of company wide events and staff activities - this includes the all company meetings, local/remote events, assistance with Vermont events
- Ensures the security, integrity and confidentiality of all data
- Monitors and maintains office supply inventory
- Develops intra-office communication protocols and streamlines administrative procedures
- Assists Human Resources with the coordination of onboarding/offboarding employees
- Designs monthly newsletter for all locations by the 1st of each month
- Decorate the office for each holiday
- Assistance with departmental updates and/or administration, based on team needs
- Maintains and updates records as needed, including office contracts, employee files, and other important documents
- Assist in onboarding new employees, providing them with office-related training and resources
- Oversee the layout and arrangement of office space, ensuring it's conducive to productivity and comfortable for staff
- Other duties as assigned
Qualifications and Skills
- 3-5 years of experience managing a office on-site
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively
- Excellent communication and people skills
- Proven office management, administrative or assistant experience
- Excellent time management skills
- Ability to multitask and prioritize work
- Ability to adapt to changing situations and pivot when needed
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Proficient in MS Office, Google Drive, and Apple software and hardware. Advanced Excel knowledge is a huge plus
- Computer skills and knowledge of office software packages
- Associates degree in Business Administration or similar experience preferred
- Proactive personality that searches for ways to improve and assist all entities
- Proficiency in resolving conflicts and addressing issues in a professional and timely manner
Compensation & Benefits
- Starting salary is $50-60k per year DOE
