WE ARE SEEKING A TALENTED PROFESSIONAL : Executive Administrative Assistant

This role provides critical support to the Chief Executive Staff and undertakes administrative functions to ensure that the business development, operational and office management duties are carried out effectively and efficiently for AccessHealth.

Responsibilities

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Arranging Board of Directors and Executive meetings (including client meetings) in person and online. Prepare agenda, record meeting minutes, and send packets in a timely manner.
  • Supporting the Chief Executives to prepare information for presentations, events, etc.
  • Answering phone calls, managing daily schedules, plan travel, file receipts, invoices and coordinate other activities as needed.
  • Coordinating the filing and update of business documentation including policies and procedures held in hardcopy and electronically.
  • Creating graphics, newsletters, editorial content for employee newsletter and other documents as needed.
  • Spearheading employee committees, special indoor and outdoor community outreach events.
  • Travelling across different AccessHealth sites and other facilities as needed.
  • Providing direct support for the Chief Executive team as required.
  • Coordinating work with other departments as required/as needed.
  • Other administrative duties as assigned.

Qualifications

EDUCATION / LICENSURE / CERTIFICATION QUALIFICATIONS:

  • High School Degree or GED required.
  • Associate Degree or Higher preferred.
  • Current Notary Certification preferred.

IF YOU POSSESS THE FOLLOWING SKILLS AND EXPERIENCE, WE WANT TO HEAR FROM YOU!

  • Prior experience working as an Executive Assistant or e quivalent.
  • Hands on knowledge and familiarly working with senior management and senior level clients, Including Board Executives.
  • Ability to manage complex and highly confidential information.
  • Experience working autonomously doing multiple tasks and / or projects while routinely reporting to different teams and staff members.
  • Highly computer literate with knowledge of advanced MS office applications, including Word, Excel and Outlook.
  • Excellent social skills, able to operate with diplomacy, tact and empathy.
  • Attention to detail and a high degree of personal organization and self-management.
  • Ability to work with strict deadlines, be flexible and produce results within a short period of time where demands are likely to change at minimal notice.
  • Ability to think proactively to maximize opportunities and promote the Vision and Mission of the organization.
  • Prior experience with a non-profit organization is a plus.

Hours

Employees will be assigned to a regular work schedule, which may include hours before 8:00 am, after 5:00 pm, and Saturdays as determined by department needs and requirements.
