Summary

Director of Member Experiences and Events, The Elwood Club

The Director of Member Experiences and Events is responsible for planning, preparation and execution of all Elwood Club programming and strategic partnerships to ensure best-in-class experiences for our members. They must ensure that a timely and organized planning process is in place that includes proper lead time to ensure that marketing duties are properly created and executed, day-of event coordination is complete, set-up and execution is to brand standard and involvement in the event as a participant to build member relations and find opportunities for improvement. The Director must ensure all programming is aligned to The Elwood Club and Pendry brands and all member events are aligned/executed with brand narrative.

Essential Functions

  • Secure talent for events and programming and constant outreach to brand aligned contacts/partners.
  • Focus on pre-event coordination to ensure that day-of production is seamless, collaborating and communicating with all relative departments.
  • Finalize timeline of events, arrivals details, hospitality requirements, AV/tech needs, etc. alongside Production team.
  • Build a diverse quarterly calendar of programming that supports members passion points and feedback.
  • Provide programming that fits with The Elwood Club’s member demographic for individual, partner memberships and family driven programming.
  • Work directly with the events and catering team to create BEO’s within timeline of hotel operations and plans for seamless execution for member events.
  • Present partnership opportunities that align with The Elwood Club and Pendry Newport Beach’s mission and brand standard.
  • Provide Membership department with member focused activities (ie Forums, offsite, Communal dinners, Musical performances, children’s activities, Fitness, comedy nights, movie nights etc).
  • Assist in managing programming calendar regarding schedule and balanced content with a minimum 2-month lead time of development (holiday and peak dates may require longer lead time planning)
  • Organize marketing collateral alongside production team; compile info from talent & submit design request forms for marketing collateral (including but not limited to: invitations, monthly newsletter, boards, etc.)
  • Approve copy for programming collateral before it goes out (Newsletter, Screens, Folded Calendars, Programs).
  • Participate in walk-throughs with partners and talent.
  • Focus on local artists, but including available opportunity to artists in all geographic locations.
  • Oversee divisional matters as they relate to federal, state and local employment and civil rights laws.
  • Manage Member Boardroom reservations and execution of meetings.
  • Manage private member events in The Elwood space inclusive of cocktail parties, large dining events and other member events and clearly communicate to departments as required.
  • Interact positively with guests promoting hotel facilities and services. Resolve problems to the satisfaction of involved parties. Maintain communication with all departments to ensure guest service needs are met.
  • Provide support of a specialist nature to the Executive Committee.
  • Develop strong relationships with members and colleagues.
  • Use Peoplevine platform to manage member events, member feedback, member outreach and member billing.
  • Ensure billing and payments are completed in a timely manner through birchstreet.

Qualifications

  • Being comfortable in conversing with talent, members, guests and potential members regarding events and our various programs and amenities
  • Must always be a positive and articulate ambassador of the brand
  • Highly organized & detail-oriented
  • Able to flourish while working against deadlines
  • Ability to coordinate and oversee multiple tasks simultaneously
  • Excellent interpersonal & communication skills
  • MS Office Suite including PPT and Excel
  • Delphi Experience
  • Efficient with Google Calendar/Docs/Outlook/Chrome
  • An interest in arts, culture, fitness, food and entertainment is required
  • Minimum Bachelor’s Degree
  • Minimum 5+ years’ experience in Executing Events from start to finish

Physical Requirements

Most work tasks are performed indoors. Position requires walking and giving direction most of the working day. Must be able to exert well-paced ability to maneuver between functions occurring simultaneously. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Must be able to lift trays of food or food items weighing up to 30 lbs. frequently. Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally.

The pay scale* for Director of Member Experiences and Events is $90,000-$110,000.

  • The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
