The Global Human Resources Administrator is responsible for providing high-level administrative, operational, and project management support in a fast-paced global environment. Reporting to the VP of Global Human Resources (HR), this role supports UCT’s HR senior leadership team including the CHRO.

In this role, you will be exposed to all areas of the HR department and receive mentorship opportunities from seasoned professionals. This role requires an individual that can work at a high-level producing executive level ready materials while also performing administrative and day to day transactional tasks.

Duties and Responsibilities:

Administrative- 25%

  • Manages HR Executive Leadership Team member’s complex calendars.
  • Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Organizes global HR department meetings including suggesting topics, preparing agendas, capturing decisions and actions. Prepares materials, including PowerPoint, for the meetings.
  • Composes, formats, edits, and appropriately disseminates a wide range of complex and highly confidential communication materials.
  • Organizes and expedites the flow of work through the global HR department and initiates follow-up actions as necessary.

Operational- 50%

  • Manages HR invoices, assuring that goods/services have been received; partners with Accounts Payables on invoice payments and assists with budget tracking as required.
  • Maintains the HR SharePoint sites and global calendars ensuring information is current, easy to navigate, and is valuable to UCT’s employees.
  • Creates and distributes the quarterly global HR newsletter.
  • Manages and coordinates the HR audit processes.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff or management.
  • Assists senior HR leaders with ad-hoc projects for their respective areas of focus (benefits, compensation, L&OD, talent acquisition, etc.).

Project Management-25%

  • Assists in planning, developing, implementing, and tracking short and long-term project direction, objectives, goals, and strategies. Creates and maintains status report on project plans, progress, and results.
  • Proactively manages project milestones and timelines, oversees project development efforts to keep projects on schedule, on budget, and in scope.
  • Partners with HR functional leaders on development and deployment of project plans for HR strategies and initiatives.
  • Develops and maintains an HR roadmap of overlapping projects and competing resources.
  • Identifies, gathers, and analyzes data relative to projects/initiatives to provide relevant insights that will drives decision-making.

Educational and Experience Requirements:

  • Associate or bachelor’s degree in business or human resources.
  • Minimum 5 years of experience with executive administration, project management and HR operations.
  • Experience communicating effectively and diplomatically with all employee levels both verbally and in writing.
  • Proficient experience working with Microsoft Office applications including Word, Outlook, Excel, Access, SharePoint, Project, and Teams.
  • Experience creating visual interpretations of data and audience engaging presentations.
  • Experience analyzing situations, identifying problems, and recommending solutions.
  • Demonstrated ability to rise to business challenges, quick thinking, and resolving problems/removing roadblocks.
  • Exposure to, or the ability to quickly learn, human resource information systems (HRIS).
  • Experience with Canva or other publication software for creating engaging global communications including newsletters.
  • Experience working globally in a large multi-national corporation preferred.
