Overview

From August 19-22, 2024, Democrats from all over the country will gather together in the City of Chicago to participate in the Democratic National Convention, where we will nominate President Joe Biden and Vice President Kamala Harris for re-election. The Democratic National Convention Committee (DNCC) is assembling a diverse team with skills in community engagement, event logistics, finance, operations, IT, and more. The DNCC team will oversee and deliver on all aspects of the planning and execution of this Convention, from housing the delegates to convening Platform Committee meetings to producing the Convention's live programming, which will be seen by hundreds of millions of people around the world.

Summary

The Staff Assistant is responsible for providing staff support to the Housing Department including, but not limited to, coordinating department administrative operations and communicating regularly to external customers, e.g., Convention constituents, hotel partners and Choose Chicago.

The Housing department is responsible for providing hotel rooms and meeting space for thousands of Convention attendees, including delegates, allied groups, finance groups, party leaders, media, security personnel, the White House and other invited guests attending the 2024 Democratic National Convention. Through strategic coordination with a housing services provider, the Chicago hotel community, and DNCC departments, the Housing department will create an integrated housing plan for the procurement and allocation of the DNCC hotel guest room block.

REPORTING STRUCTURE

The Staff Assistant reports directly to the Director of Housing

Key Responsibilities

Manage administrative operations for the department and department staff, including, but not limited to, screening incoming communications, processing documents and paperwork, preparing reports and briefing materials, providing logistics support for meetings and travel, and overall office management.
Coordinate departmental and inter-departmental meetings and manage multiple calendars.
Work with other department staff on various projects as requested.
Work collaboratively with the Housing Managers, Housing Agent Service Provider (HASP), Senior Housing Advisor, and the Chicago hotel community to meet the housing needs of Convention attendees.
Coordinate record keeping and archiving processes for the Housing department.
Partner with the HASP in creating and disseminating the Housing department's monthly newsletter to the hotel community.
Work with DNCC volunteer team in managing housing volunteers as requested.
Other duties as assigned.

Qualifications

Exemplary problem-solving, presentation, oral and written communication skills.
Highly detail-oriented and organized self-starter with effective problem-solving skills.
Ability to handle multiple tasks simultaneously.
Ability to work under pressure and meet deadlines in a fast-paced environment.
Proficiency in Microsoft 365 (Word, Excel, PowerPoint), Google Workspace applications, and willingness to learn additional software platforms as requested.
Possess strong interpersonal skills, sense of humor, and be a team player at all times.
Provide excellent customer service internally and externally.
Experience in event or project organizing is a plus.
Willingness to be a proactive team member to help accomplish the goals of the Convention.

WORK ENVIRONMENT/PHYSICAL DEMANDS

The DNCC will mainly operate out of the Headquarters Office, but will also maintain a number of satellite offices and additional venues. All of these spaces are professional office environments, and will require the operation of office equipment such as computers, phones, and copy machines. This position mainly uses an assigned workstation but may require movement or maintaining a stationary position for short or long periods of time. Employees may be asked to do tasks requiring dexterity or lifting items weighing up to 10 lbs. All employees may request a reasonable accommodation to perform their job tasks.

LOCATION: Chicago, IL

TRAVEL: This job will require travel within the City of Chicago among participating Convention hotels.

FLSA ELIGIBILITY: This is a non-exempt position under the FLSA and is eligible for overtime for hours worked in excess of 40 hours per week.

SALARY & BENEFITS: The anticipated starting salary for this position is $51,000. The DNCC offers a benefits package that includes medical, dental, and vision insurance, Flexible Spending Accounts, and disability and life insurance.
