The Project Administrator will support the Art Bridges Fellows Program, Internship Program, and the foundation's strategic initiatives. This position is ideal for an individual who enjoys hands-on learning, developing processes, and finding efficiencies to support long-term goals.

Art Bridges is the vision of philanthropist and arts patron Alice Walton. The mission of Art Bridges is to expand access to American art in all regions across the nation. Since 2017, Art Bridges has been creating and supporting programs that bring outstanding works of American art out of storage and into communities. Art Bridges partners with a growing network of nearly 220 museums of all sizes and locations to provide financial and strategic support for exhibition development, loans from the Art Bridges collection, and programs designed to educate, inspire, and deepen engagement with local audiences. The Art Bridges Collection represents an expanding vision of American art from the 19th century to present day and encompasses multiple media and voices.

About the position

The Project Administrator will serve as a member of the Art Bridges Fellows Program team, providing administrative support to the department. The individual will collaborate with Art Bridges colleagues across departments to continuously improve our processes and operations internally and externally with our partner museums.

Preferred candidates will be passionate about expanding access to art with skills in critical thinking, problem-solving, research, writing, and building interpersonal relationships. The Project Administrator should possess intellectual curiosity, imagination, flexibility, and openness to giving and receiving feedback. They will be interested in American art, community engagement, social justice, and DEAI. The Project Administrator will have the ability to work with diverse partners, listen, ask questions, adapt, and collaborate.

Responsibilities

● Provide crucial support for the department building pathways for the next generation of arts leaders through fellowships and internships

● Assist department with meeting scheduling, general correspondence, and information requests as needed

● Prepare agendas, create presentation materials and PowerPoints, and take meeting notes

● Maintain the Outlook calendar and travel needs for the Director, Fellows Program

● Manage the department's invoicing and expense reports needs

● Support the reporting of department activities for the board and other stakeholders

● Maintain digital files for the department, including recruitment and newsletter documents

● Assist the Fellows Program summer and academic year intern with onboarding and weekly needs

● Support the annual summer residency and orientation for Art Bridges Fellows and other convenings throughout the year

● Participate in DEAI task forces, the Interdepartmental Project Support Team, and professional development

● Other special projects and duties as assigned

Qualifications and skills

● Associate degree

● At least two years in a professional environment

● Demonstrated skill in project management

● Outstanding analytical skills with a special emphasis on attention to detail

● Excellent teamwork skills

● Working knowledge of Microsoft Office suite, strong technology skills, and willingness to learn new systems quickly

● Knowledge of Microsoft Office (Word, Excel, PowerPoint)

● Superior written and verbal communication skills

● Ability to thrive in a fast-paced environment

● Demonstrated adaptability under changing needs and priorities

● Ability to deliver on short and long-term goals and make recommendations for improvement

Physical demands: Position requires utilizing a computer and telephone for prolonged periods of time, good eye/hand coordination, verbal, and written conversation with others, and lifting/carrying up to 10 lbs. Vision abilities required by the job include close vision.

Work environment: Work will be performed in an office environment full-time (Monday-Friday, 8AM-5PM.) The noise level in the work environment is typically low to moderate.

Vaccination policy

In accordance with our duty to provide and maintain a workplace that is free of known hazards, and to do our part in safeguarding the health of our co-workers and their families as well as the community at large from COVID-19 that will be reduced by vaccination, we are requiring all Art Bridges staff and interns to be fully vaccinated against COVID-19 by their start date as a condition of employment. According to the CDC, “fully vaccinated” means it has been two weeks since a person received the second dose of Pfizer or Moderna or the single dose of Johnson & Johnson.

In accordance with all federal, state, and local rules and regulations, Art Bridges recognizes that there may be certain circumstances exempting an employee from receiving the COVID-19 vaccine. Employees in need of an exemption from this policy due to a disability, advice of a medical provider, or religious beliefs inconsistent with vaccination, must contact the HR group at AWE to initiate the interactive review process within the deadlines expressed in this policy.
