Assists the Property Manager, Operations Manager and General Manager in the overall administration and operation of the property through interacting and working with tenants, vendors, contractors, and corporate office personnel.

The base salary is aligned with market data and is estimated between $24.00 per hour to $26.77 per hour with the ability to achieve additional compensation through bonus. This salary range reflects base compensation for the position across all US locations. Within this range, individual pay is determined by work location and other factors including relevant education/training, experience, and internal equity.

Cross-trains with Tenant Services Coordinator, Property Accountant and Concierge to be able to provide coverage as needed.
Answers telephone and greet office visitors daily in a prompt and courteous manner. Determines nature of business, and routes calls or direct visitors to the appropriate person. Takes accurate messages in order to provide effective communication with the office staff and to promote goodwill with building tenants and the public.
Answers inquiries related to the property, including building hours, services, policies and procedures.
Processes tenant requests for building security access cards by ensuring that the tenant completes the required paperwork and forwarding it for further handling, and updates computerized access card list in order to maintain necessary building security, except where handled by another staff member.
Prepares work orders for tenant requested services by calculating fees due, completing the necessary forms, obtaining necessary approval, and forwarding to the engineering staff for completion. Coordinates the work to be performed as needed with the engineering staff by providing needed information in order to provide efficient service to the tenants.
Responds to daily tenant questions, concerns, and requests for services, such as repairs, minor tenant improvements, and assistance with moving in or out of the building, by providing the needed information, researching the concern and providing feedback, or arranging for needed services and following through to completion in order to maintain high tenant satisfaction.
Leads and schedules new tenant orientation with other building staff members.
Leads and coordinates tenant events, promotion of property amenities and various programs requiring tenant participation/compliance.
Assists general manager in administration of tenant leases, such as drafting of lease abstracts, routing lease documents for signatures, ensuring timely payments of lease commissions and legal fees, preparation and distribution of parking allotment forms, and submitting lease documents to accounting, leasing, asset managers and uploading to cloud for client access.
Reviews, analyzes and types supporting documents for tenant leases in order to document the terms of the tenant's occupancy of building space. As needed, serves as property management contact for tenant questions regarding their lease documents and answer and/or direct questions to managers in order to promote clear understanding of the lease terms.
Conducts storage space tours and provide information to tenants regarding storage rentals.
Maintains and updates the electronic elevator display screens and the property website with most current information.
Maintains, updates, and confirms tickler files each month of insurance certificates and other related documents in order to ensure tenant compliance with local law and the lease documents, except where this is handled by another staff member.
Process contractor and vendor bids for building services as needed by requesting bids from the managers with supporting approvals, preparing the contract for services and routing contracts for necessary signatures. Under manager’s supervision, assist with coordinating the work to be performed, assuring minimum impact to tenant's routine and work schedules, and following progress of work or services through to completion.
Compiles monthly statistical reports, such as operations and accounting variance reports prepared by managers and client. Distributes reports to the managers and client and uploads to the cloud providing information regarding leasing and building operations activities.
Manages the property newsletter including soliciting articles, editing content, working with designer on layout, routing for review and comments, publishing via e-blasts and uploading to property website.
Assists the property management team by observing building interior/exterior, landscaping, and common areas for needed repairs and maintenance, reporting findings with recommended resolutions, requesting bids, scheduling repairs or services, and following through to completion.
Assists office staff with typing of routine correspondence and other miscellaneous reports in order to maintain effective communication with tenants, vendors, and corporate personnel.
Assists in preparation and presentations of annual budget process.
Performs a variety of clerical duties.

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university; or one to two year’s related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with tenants or employees of organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.

OTHER SKILLS and ABILITIES

Proficient in the use of personal computer and word processing and spreadsheet software.

Must be able to move freely throughout the location, including moving up and down stairs. Must be able to sit for up to 50% of the work day.
