2nd Assistant to CEO – Strategic Advisory Firm

A global strategic advisory firm is hiring for a dedicated and eager 2nd Assistant to support their esteemed CEO. It is an exciting, varied and demanding role with considerable responsibility in a professional, high-level and fast-paced office environment. A great deal of multi-tasking is required, as well as efficient liaison and coordination with the London-based Senior Assistant to ensure the CEO can operate successfully to run our global client engagements alongside his leadership of the firm.

Salary commensurate with experience - $85k- 95k base + discretionary bonus + excellent benefits, FSA, commuter benefits, 401k with 6% match + PTO (25 days)

Hybrid- 3 days/week in the Union Square office – but flexible to go in more when CEO is in town/as needed

Typical office hours with a 24/7 mentality as this is a global operation

Seeking:

-1-2 years of Admin or EA experience working with senior leaders

-Ideal experience would be someone who has worked extensively across time zones and heavy international travel coordination – or someone who can pick this up quickly

-BS/BA degree required – strong writing skills are mandatory

-Someone who loves this assistant role is a must, but there is plenty of opportunity to grow within the role

-Must be extremely energetic, high-energy and hungry

- Someone who is type A, no spelling mistakes in emails and someone who always puts in all details correctly in the calendar

Primary responsibilities:

-Meeting scheduling and calendar management of an ever changing calendar, predominantly in the US.

-Liaising with client offices and clients directly, as well as internal stakeholders when scheduling meetings.

-Regular sending and drafting of emails to senior clients and contacts from the CEO (e.g. client deliverables, proposals, invitations, monthly newsletter and meeting follow up emails)

-Travel booking and logistics for the CEO (domestic car bookings, flight check-ins, schedule planning)

-Ability to prepare meeting agendas for internal meetings or briefings for the CEO

-Ensure the CEO is prepared for all video conference calls, being able to trouble shoot mobile phone device issues

-Some personal support will be required from time to time (e.g. family travel, passports, home office set-up; gifts and personal trip bookings)

-Provide daily operational support for the New York office & team, to include intensive meeting scheduling, email communications and domestic travel arrangements.
