JOB PURPOSE

Provide high-level administrative support to ensure the CEO can efficiently accomplish key tasks and company initiatives.

Responsibilities

Provides administrative assistance.
Prepares reports and presentations.
Performs minor accounting duties.
Organizes and facilities meetings.
Represents the CEO to various third parties.
Assists with special projects.
PROVIDES ADMINISTRATIVE ASSISTANCE BY:
Writing and editing e-mails.
Drafting memos.
Preparing communications on the executive’s behalf.
Drafting monthly newsletter.
PREPARES REPORTS AND PRESENTATIONS BY:
Collecting and analyzing data to prepare reports for review and presentation to boards of directors, committees, executives or third parties.
PERFORMS MINOR ACCOUNTING DUTIES BY:
Paying various expenses.
Reconciling various statements.
Reviewing various vender invoices.
ORGANIZES AND FACILITATES MEETINGS BY:
Acting as point of contact for organizing and scheduling meetings.
Tracking attendee acceptance sends reminders and ensures participants are aware of meeting platform.
Recording accurate minutes from meetings.
Distributing meeting minutes and actioning items.
Organizing catering when needed.
REPRESENTS CEO TO VARIOUS THIRD PARTIES BY:
Greeting key clients and vendors on CEO’s behalf.
Organizing client dinners and special functions.
Being point person to various legal contacts.
ASSISTS WITH SPECIAL PROJECTS BY:
Supporting CEO with various project needs.

Strong work tenure; five to ten years of experience supporting C-Level Executives.
Computer skills – MS Office, Excel, Word, OneNote, OneDrive, SharePoint, Zoom, TEAMS and Social Media web platforms.
Data analysis.
Strong organizational skills and ability to multitask.
Expert verbal and written communication skills.
Creative problem-solving and decision-making skills.
Ability to work effectively with minimal supervision.
