The Community Development Administrative Specialist plays a key role in supporting both fundraising and events. Responsibilities include researching and maintaining accurate donor records, organizing marketing materials and reports, and assisting with the logistics of events—ranging from intimate donor gatherings to large-scale galas. GLOBAL is a fast-growing, strategic, innovative, and forward-thinking public not for profit 501(c)3 with the mission of significantly improving the lives of people with Down syndrome through Research, Medical Care, Education & Advocacy. GLOBAL provides critical funding, outreach and lobbying in support of our four “Affiliates”:

GLOBAL’s primary activity is in Colorado and the DC-area, although GLOBAL has members from all states, ten countries and supporters around the world.

JOB DESCRIPTION

The Community Development Administrative Specialist (Administrative Specialist) is a full-time position that reports to the Sr. Director of Community Development and Community Development Manager.

The Administrative Specialist is responsible for impactful, measurable work in the following two areas: (1) Support revenue goals through daily donor online research, database, filing, and marketing material organization of donor information and reports, and conducting large and small donor stewardship and development research projects, mailings, and communications; (2) Provide logistical administrative support for both intimate and large events, including and volunteer and vendor support, communications, and timelines. The duties of this position include but may not be limited to the work listed below.

Support revenue goals through daily donor online research, database, filing, and marketing material organization of donor information and reports

(1) Donor Support – includes daily online research, in-database queries and cleanup projects, in-database research; assist with receipt letters creation and mailings

(2) Database Support – includes ensuring that updates on donors from Community Development make it into the database or to the Data Team in a timely, consistent manner

(3) Marketing Support – includes market research on key donor social media handles, the timely and organized filing of marketing materials

(4) Administrative Support – includes coordinating agendas, taking and distributing meeting notes, generating templated reports, maintaining and updating organized digital and actual folders with naming protocols.

Provide logistical administrative support for both intimate and large events, including volunteer and vendor support, communications, and timelines.

(1) Volunteers & Vendors - Ensure volunteer job descriptions and numbers are finalized with key stakeholders and organize outreach for recruitment, pre-plan timely communications with job descriptions, CADs and other materials or tools for volunteers to be successful. Likewise make sure vendors are provided SOWs and agreements are signed timely.

(2) Event CADs – Ensure CADs are accurate, pre-approved by key stakeholders, and finalized well in advance. Onsite at events, ensure the actual room set up matches our CADs and if they don’t, troubleshoot a solution that is timely and amenable to GLOBAL and the venue.

(3) Communications– Assist with Event related website updates, social media, newsletter, mailings and phone calls. Provide subsequent templated analytical reporting.

REQUIREMENTS

Bachelor's degree.
Three or more years of administrative experience and events support. Experience working in hotel events is a plus.
Proficient in all Microsoft Office Suite programs and donor database software (Raiser’s Edge, Salesforce, etc.). Can type 50+ words per minute.
Strong interpersonal skills, particularly as it relates discretion, proprietary information, listening to others, patience and understanding for dealing with a diverse group of co-workers, donors, volunteers, and families.
Ability to use good judgment and ethical behavior in handling confidential material with sensitivity and discretion.
Strong writing, editing and presentation skills.
Customer oriented with high-touch service to internal and external constituency.
Strong interest in non-profit development and social-justice work.
Critical thinking and time management skills.
Highly motivated, curious, and able to accept multiple tasks with direction.
Ability to work effectively with ethnic, cultural, and ability diverse populations.
Passion for working in the community serving people with Down syndrome.
Flexibility and the ability to prioritize assignments and meet deadlines as a team player in a high-pressure, fast-paced environment. Ability to work calmly under pressure while delivering work on time and with accuracy.
Ability to travel for events and to work extended hours to meet deadlines and to attend GLOBAL-related events which may occur on evenings and weekends.

REPORTING STRUCTURE

Reports to the Sr. Director of Community Development and Community Development Manager.

HOURS

Must work the hours necessary to satisfactorily perform the duties of the position. GLOBAL’s office hours are Mondays through Fridays from 9:00am-6:00pm MT. Employee must be able to work in the Denver office Monday through Thursday, with a work-at-home on Friday option. Position also requires occasional travel to DC and other states, and occasional evening and/or weekend work.

COMPENSATION

This is a non-exempt position, requiring flexibility in order to meet deadlines and attend GLOBAL events. Annualized salary range is $55,000 to $65,000.
