Summary

The administrative assistant provides administrative support to the Pastor by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors and scheduling meetings. This position also coordinates with the church’s daycare program and helps manage the building.

Church Description:

Good Shepherd Presbyterian Church (PCA) has served the Oakville, MO community for 35 years. We have an average attendance of about 50 at a blended worship service on Sunday Morning. We are currently undergoing a time of renewal under the leadership of Pastor Daryl Madi.

Essential Duties & Responsibilities:

· Manage church and congregational communication, including the sorting and distribution of mail, responding to email as necessary, producing the monthly newsletter, publishing a church directory, updating the church website and Facebook Page as necessary, and maintenance of the One Call Now database and church email distribution lists.

· Handle event coordination: occasional shopping and preparing the building for fellowship meals at church.

· Produce weekly bulletin and send OOW (Order of Worship) and music to music director and worship team (checking CCLI or searching the web for music); maintain a database of music in Google Drive for sharing with various musicians.

· Work with the music director to prepare PowerPoint slide presentation for Sunday, report CCLI copyright usage and use sound system (sound and recording), as necessary.

· Coordinate with the Belle Terre Day Care (a ministry of the church) and their staff (3-4 teachers serving ~30 children) to facilitate use of the building, help with municipal, county, and state inspections, and submit payroll (bi-monthly).

· Assist the treasurer by printing invoices, managing credit cards, collecting receipts and allocating expenses.

· Upload sermon (and other updates) to website (some basic audio editing skills needed).

· Serve as contact with outside groups that use the building, including election officials (we are a polling place), communication with repair/maintenance vendors, collect the bids and schedule service for any service/repairs, as needed.

· Shop or order necessary supplies (kitchen, cleaning, office).

· Update Policy & Procedure manuals as needed.

Work Environment

This job operates in a professional office environment (routinely uses standard office equipment). This position reports directly to the pastor.

Physical Demands

Office time is mostly a sedentary role (stationary at desk and working on a computer). Occasionally staff help set up tables and chairs.

Position Type and Expected Hours of Work

The weekly schedule will include 20 hours per week (on average). In addition to your regular weekly hours, you may be asked to help with events that will occasionally be in the evening or weekend hours. These hours can/will fluctuate. Some office hours are necessary, but a significant amount of work may be done from home.

Monday-Friday: As scheduled with the Pastor

Saturday & Sunday: Off

Required Education and Experience

High school diploma.
1 year of administrative experience (preferable)

Preferred Education and Experience

Associate Degree or Bachelor Degree.

Compensation: $18-$20/hour depending upon experience and qualifications.
