Primary Purpose of the Position.

The Executive Assistant is a highly skilled role that will provide high-level administrative support to the Chief Executive Officer and take a leading role in the communications efforts of both the CEO and the Company both internally and externally.

Essential Functions

Manage and maintain the executive's calendar, appointments, and meetings, ensuring efficient time management.
Coordinate travel arrangements, including flights, accommodations, and itineraries, and prepare expenses for submission to accounting for reimbursement.
Edit and finalize formatting for documents, reports, and presentations for internal and external meetings/communication, including a monthly employee newsletter, board presentations, press releases, quarterly all hands information session via Zoom, and other internal and external presentations.
Coordinate and collaborate with team members in other functional areas (HR, Marketing, Accounting, etc.) to complete presentations and other project-related work.
Schedule and coordinate meetings, including logistics and preparation of meeting materials.
Act as a primary point of contact between the executive and internal/external stakeholders, demonstrating a high level of professionalism and confidentiality.
Screen and prioritize, emails, and other forms of communication.
Draft and edit correspondence, ensuring accuracy and alignment with the executive's style and preferences.
Track and follow up on action items and commitments made by the executive, both internally and externally.
Assist in project management and execution, ensuring deadlines are met.
Help manage and prioritize daily tasks to enhance the executive's productivity.
Conduct research, gather data, and prepare reports or summaries as requested.
Assist with Event Planning for the Company as needed.

Minimum Qualifications:

Strong Interpersonal skills
High-level customer service skills
Demonstrable time management and follow-up skills
Project management experience and skills
Event Planning and execution experience and skills
Excellent writing skills including the use of proper grammar
Expert-level knowledge of Microsoft Office Suite including the ability to use mail merge for correspondence, develop and update spreadsheets, and create flyers, PowerPoint decks and invitations.
Strong research skills.
Demonstrates exceptional organizational abilities, capable of managing multiple tasks and priorities with precision.
Exercises a high degree of discretion and maintains strict confidentiality.
Possesses excellent verbal and written communication skills, able to articulate information clearly and concisely.
Adapts to changing situations and priorities, efficiently managing unexpected challenges.
Demonstrates a proactive approach to identifying and resolving issues independently.

Preferred Qualifications:

• Bachelor's degree or equivalent work experience.

• 3 years of experience in an administrative, communications/editing, or executive support role.

Reports to: CEO

Work Location: Amarillo, TX

Supervisory Responsibility: This job has no direct supervisory responsibilities.

FLSA Status: This position is exempt.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers.

Travel: This position may require occasional travel to other Modern Aviation locations.

Physical Requirements: Physically able to perform frequent walking, sitting, stooping, stretching, bending, reaching, and grasping actions.
