Overview

This position is responsible for assisting/supporting all administrative functions of the Site. Must be able to cross train and support other Administrative jobs within the Department as well as other duties as assigned.

Responsibilities

Manage responsibilities associated with front desk of the facility, including visitor management, vendor management, phone calls, emails, mail/UPS, and badge ordering.
Coordination and scheduling of meetings, catering, and travel arrangements
Manage the procurement and replenishment of supplies for the office and operations.
Ownership over the site’s finances, budget, and forecasting process.
Process bills, PO requests and JEs on a timely basis
Review Kronos for frontline employees ensuring accurate accounting and posting and awarding of overtime.
Oversees employee vacation scheduling process annually
Maintain and update the location’s website, newsletter, bulletin boards, roster, and schedules.
Run various reports and analysis in Excel.
Assist Department Managers with administrative tasks (Safety, HR, & Operations Support)
Other duties as assigned by supervisor

Compensation & Benefits:

The expected Compensation range for this position is between $44,000 - $53,000 based on full-time schedule.
Location confirmed job-related skills and experience will be considered in setting actual starting salary.
Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications

3 years of administrative experience minimum required.
Excellent computer skills with Microsoft Office (Word, Outlook, Excel)
Ability to run reports, perform data analysis, and use formulas in Excel
Experience managing budgets
Experience with data entry
Ability to handle multiple and changing priorities in a fast-paced work environment
Ability to work independently with minimal supervision
Excellent time management skills, organization, and attention to detail
