The Learning Operations Coordinator supports effective day-to-day learning operations and is primarily responsible for the execution and successful delivery of synchronous and asynchronous learning programs, including registration management, logistical arrangements, and communications with learners, instructors, vendors, and internal staff to ensure program success.

Job Accountabilities Course Management

Effectively schedule and manage delivery of all synchronous education, including in-person and virtual classes with appropriate unit director (Chapters, Professional Development, or Member Relations), Events department, and other appropriate staff. This includes:
- Adding and managing classes in the LMS
- Site coordination for in-person classes
- Setting up virtual meetings
- Scheduling instructors
- Identifying production support
- Registrant/learner and instructor support
- Tracking expenses and processing invoices
Provide routine updates to the Manager, Learning Delivery and Operations, and other relevant PD team members on the status of courses.
Serve as an event producer for virtual instructor-led courses and Commercial Lending School as needed.

Instructor/L&D Relations

Serve as a Professional Development liaison and support the Relationship Managers and their bank executives in the roll out of their professional development curriculum.
Effectively manage instructor/consultant relationships to ensure quality and availability of instructors for delivery of Professional Development instructor-led programs (in-person and virtual).
Schedule instructor assignments and remain primary liaison with instructors throughout live and virtual delivery processes.
Provide instructor support as needed on evenings and weekends for unplanned situations. (i.e., weather related situations)
Serve as the principal RMA staff liaison to customers for questions and problems with delivery and administration of Professional Development programs (in-person and virtual).
Work with the Events and Chapters teams, as appropriate, to secure course locations for co-sponsored education events and oversee virtual platforms to ensure sufficient availabilities inclusive of instructors and virtual licenses.
Track site and instructor expenses to ensure RMA expense policies are being followed.
Work with chapters and relationship managers to increase participation in synchronous and asynchronous programs.
Coordinate and schedule end-to-end onboarding of all new potential instructors.
Oversee instructor certification initiatives inclusive of providing coaching and standardization for all instructor-led courses.
Maintain historical instructor performance to further develop policies and guidelines for instructors.

Administration

Monitor & analyze in-person and virtual instructor-led courses as RMA representative for evaluating instructors / delivery / process.
Maintain class attendance rosters when necessary for NASBA CPE requirements.
Effectively execute operational and administrative duties including, but not limited to, instructor expense reimbursements and chapter reimbursements when applicable.
Cancel or reschedule courses when necessary, and manage cancellation fee collections
Ensure timely selection of site facility locations for all chapter co-sponsored education.
Provide support as needed for printing and delivery of digital or printed materials.
Develop and maintain monthly Faculty Newsletter.

Other Learning Operations

Serve as backup to the LMS Administrator, which includes responding to and resolving internal and external tickets and providing general support to system users as needed.

Job Qualifications

5+ years of increasing responsibility in an administrative support role required, preferably in the financial services industry.
Detail oriented with strong organizational and communication skills (both oral and written).
Proficient with Microsoft Office Suite, Zoom, and Adobe Connect
Proficient with Personify AMS, Nimble, and Saba/Cornerstone LMS preferred.
Proven ability to collect and report on data, review trends & suggest actions based on analysis.
Strong project management skills, experience working in a fast-paced environment handling competing priorities and a wide variety of administrative and logistical matters.
Travel up to 10% to attend events as required.
