In my early days in the corporate world, I used logic frameworks for email communication. Analytical skills were my forte. I took pride in my communication skills.

I was a master of the if-then-else-whatif-when-where framework, and I used it to plan meticulously every word I wrote. I ensured that my emails were comprehensive, leaving no stone unturned.

During the annual appraisals, the feedback from my manager shocked me.

While he acknowledged my analytical skills and thoroughness, he also pointed out that my emails were often too long and lacked clarity. He suggested that I focus on communicating my message more concisely and directly.

Reflecting on his feedback, I realized my over-cautious approach hindered my communication.

I decided to make a conscious effort to improve my writing style. As I pushed myself to communicate with brevity, I became more productive.

Here are five suggestions with actionable steps for corporate professionals looking to communicate with greater clarity:

1] Know Your Audience

Once, I spent an hour crafting an email to a new client, only to realize later that they preferred a more informal tone. So much formality became a faux pa moment when we met face-to-face. The client jokingly said, “Rahul, let your hair down sometimes.”

Advice: Before writing an email, consider your audience's level of knowledge, their preferred communication style, and their relationship with you. Tailor your message accordingly.

2] Start with the Bottom Line

I used to bury the main point of my emails in the middle of a long paragraph. It often led to confusion and frustration among recipients. The question at the back of their mind – “So What?”

Advice: Begin your email with a clear and concise summary of your main point. It will help your recipient quickly understand the purpose of your message.

3] Use Active Voice

I often used passive voice in my emails, which made them sound impersonal and indirect. A passive voice gives a feeling that someone owns it and you are not accountable.

Advice: Use active voice to make your writing more engaging and direct - "The team completed the report." instead of "The report was completed by the team" is a good example.

4] Edit Ruthlessly

I used to be afraid to delete any part of my email, even if it was irrelevant or redundant. I always wanted to make my emails “bulletproof” by sharing too many backstories. In the process, I made my clients and managers read unnecessary detail.

Advice: After writing your email, take some time to edit it carefully. Remove any unnecessary words, phrases, or sentences. Aim for brevity without sacrificing clarity.

5] Proofread Carefully

I once sent an email with several typos and grammatical errors. It was a major embarrassment! When I re-read what I sent, it was much below my standards.

Advice: Before sending your email, proofread it carefully for any errors. Consider using a spell checker or grammar checker to help you identify mistakes. Use apps like Grammarly or QuillBot.

Over time, I realized that clear and concise communication is not just about being efficient; it’s also about building relationships and achieving your goals.

As the famous quote by Winston Churchill goes,

“The art of communication is the language of leaders.”

By mastering the art of clear communication, you can become a more effective leader and a valuable asset to your organization.
