Position Overview:
The Programs Assistant at St. Edmund’s Retreat (SER) plays a critical role in assisting the smooth execution of programming tasks which support SER’s mission. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with multiple departments. The Programs Assistant will be responsible for retreatant coordination, bookstore oversight, and departmental support.
Key Responsibilities:
Private Retreatant and Day Group Coordination
● Serve as the primary contact for day groups and private retreatants visiting SER.
● Reserve and prepare rooms for retreatants, ensuring they are properly set up.
● Assemble and distribute welcome packets, including orientation materials, letters, and evaluations.
● Greet and assist day groups and retreatants upon arrival, offering support and resolving any issues.
● Answer phone calls, emails, and voicemails regarding retreats, scheduling, and general inquiries.
Bookstore Management
● Maintain and manage the SER bookstore, including inventory, organization, and online store management.
● Order necessary stock, organize and clean the bookstore, and fulfill orders for online and in-person sales.
● Handle financial transactions and update listings on Square and other relevant platforms.
Additional Administrative Responsibilities
● Make Mass announcements, manage the Mass Intention sheet, and contribute to the Weekly Chapel Newsletter.
● Collect and distribute evaluations and feedback to staff.
● Prepare and send Parish Bulletin emails.
● Upload SER programs to the Norwich Diocese website to ensure inclusion in their newsletter and other promotional materials.
● Pick up mail from the post office daily and distribute it appropriately to the relevant departments and personnel.
Qualifications & Skills:
● Strong organizational and multitasking abilities.
● Excellent communication and interpersonal skills.
● Experience with administrative coordination, data management, and customer service.
● Ability to work independently and collaboratively across departments.
● Familiarity with church and nonprofit operations is preferred but not required.
● Proficiency in Google Workspace and Microsoft Software Suite.
● General computer and typing skills.
Developmental Areas
● Maintain Praesidium Training/Safe Environment compliance in alignment with SER’s policies.
Performance Metrics:
Performance in this role will be evaluated based on:
● Retreatant satisfaction and feedback, measured through surveys and evaluations.
● Effective communication and responsiveness to retreatants and staff.
● Bookstore financial performance and operational efficiency, ensuring timely fulfillment of orders and growth in engagement.
Regular performance reviews will be conducted to assess progress, review goals, and provide additional support for success in this role.
