Position Focus
The Program Administrator (PA) will work primarily to support training programs in the Biological and Biomedical Sciences (BBS) that focus on disease-relevant research including the program in Translational Biomedicine (PTB) and the Medical Research Scholars Training Program (MRSP). In addition, the PA will help integrate these and other training programs by maximizing coordination and communication across several educational programs within BBS.
As the PA for the PTB, the applicant will oversee all programmatic activities includes scheduling, generating meeting agenda and curating meeting minutes. The PA will also serve as the PTB registrar and will be responsible for helping to arrange interviews of student applicants including campus visits, organizing new student orientation events, registering and tracking coursework of accepted graduate students, coordinating and monitoring timely progression of students through qualifying exams, thesis committee meetings, thesis defenses and thesis deposition, as well as overseeing the finances covering those students.
The PA will support the MRSP by monitoring progress of MRSP Scholars through this certificate-granting program, supporting the MRSP program directors by organizing monthly meetings, and facilitating communications that integrate the MRSP, PTB, and other BBS training programs. The PA will work with the program directors to complete yearly progress reports to the NIH.
In support of both the PTB and MRSP, the PA will organize both a research-in-progress series for trainees and a seminar series with outside speakers; the latter will require scheduling speakers, booking travel, and processing honoraria. The PA will oversee reimbursements, expense management, travel arrangements, and other programmatic functions as needed. The program administrator will be responsible for Web development for the affiliated programs, including content and photo selection as well as a monthly newsletter. Last, the PA will coordinate events and facilitate communication across several BBS training programs. Given these diverse roles, the successful applicant will need to be able to take on learning numerous institutional systems, to work independently and to seek out guidance and resources proactively, and to be competent at working with faculty, students and staff both within and outside of Yale.
Essential Duties
- In support of the overall mission, plans, directs and oversees programmatic activities. 2. Develops, implements, and maintains operational policies and procedures. 3. Manages program communications; identifies outreach potential, and promotes philanthropic and collaborative support of the program. 4. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans. 5. Identifies, solicits, and cultivates community partnerships and collaborations to assist in the development and growth of the program. 6. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals, and objectives. Develops metrics to identify and measure the success of the program. 7. Assists in identifying and evaluating potential future funding sources, and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications. 8. Develops and manages the program's operating budget. 9. Manages the administrative infrastructure of the program. Manages human resources including staffing and hiring, supervision, performance development, counseling and discipline, if warranted. Oversees and manages information systems, facilities, and space needs. 10. May perform other duties as assigned.
Required Education And Experience
Bachelor's Degree in a related field and two years of related experience or an equivalent combination of education and experience.

Strong written and oral communication skills. Excellent interpersonal skills with an ability to work with faculty, staff, administrators and community members. Ability to interact respectfully, collegially, and professionally with all staff and volunteers at all levels of responsibility.
