Summary
The Administrative Assistant - Human Resources will support the HR team by creating presentations, contributing to the company newsletter, assisting with wellness program initiatives, coordinating office functions, and performing HR-related tasks as assigned. This role will also be responsible for covering front desk duties as needed.
Responsibilities - Supports Organizational Development Coordination (Office lunches, company parties, employee morale events, etc.)
- Assist with reporting and audits
- Design and distribute the quarterly company newsletter
- Create and manage FedEx shipping labels for Irvine HQ employees
- Manage and process business card orders, including submitting approvals and ensuring timely processing and delivery
- Assists with creating and designing presentations
- Assign all mandatory training to new hires, ensure their training records are kept up to date, and conduct quarterly audits and reports to track compliance
- Will be responsible for developing communications and designing flyers for company events
- Initiates, coordinates, and actively participates in all aspects of corporate event planning and execution, including post-event breakdown
- Perform a variety of clerical and other relevant tasks based on the needs of the department
- Responsible for covering front desk duties as needed including but not limited to:
- Greet visitors upon arrival, determine the reason for their visit, and direct or escort them to the appropriate location. Ensure all guests sign in and provide parking validation
- Receive packages from FedEx, UPS, USPS, and other carriers, and place them in the designated drop-off area
- Answer company phone calls and manage the distribution of mail to the appropriate departments as needed
- Other duties as assigned
Compensation Range
$48,000 - $52,000 per year (Subject to Compensation Study Upon Candidate Selection)

Skills & Qualifications
- Excellent verbal and written communication skills to interact with clients, visitors, and team members Required
- Basic knowledge of Microsoft Suite (Excel, Word, PowerPoint, etc.) Required
- Ability to handle multiple tasks at once while maintaining efficiency and accuracy Required
- Proficient in utilizing Canva for designing flyers & newsletter Preferred
- Knowledge in planning and coordinating events Preferred
Education & Experience
- High School Diploma/G.E.D Required
- Bachelor's Degree Preferred
- 0 - 1 Years of Direct Experience as an Administrative Assistant, or in Human Resources Required
- 1 - 2 Years of Direct Experience as an Administrative Assistant or HR experience Preferred
- HR Departmental discipline training Preferred
