Description
The Naval Institute is a non-profit 501(c)(3) organization with a 152-year record of thought leadership on defense and global security issues. Headquartered on the grounds of the U.S. Naval Academy in Annapolis, MD, the Institute is growing, entrepreneurial, fast-paced, independent, and non-partisan. The Institute has an expanding base of devoted and highly capable donors and over the past few years, we have dramatically increased donated funds. The U.S. Naval Institute seeks a full-time Prospect and Database Coordinator to assist with the research and data of our nonprofit fundraising program. This person will be an integral member of the Naval Institute’s development team, which is charged with conducting comprehensive fundraising programs that advance the Institute’s mission and strategic goals.
Reporting to the Development Manager, the Prospect and Database Coordinator should have strong research skills, be highly organized and detail-oriented, as well as be goal-driven and energetic. The Prospect and Database Coordinator is responsible for maintaining the integrity of the donor database and conducting prospect research as well as accomplishing general administrative work as needed. This is a full-time position. Database and research experience required and familiarity with SalesForce (specifically, NPSP - Nonprofit Success Pack) software is preferred.
Database (NPSP) management and reporting
- Proactively manage and maintain the integrity of the donor database in conjunction with the needs of the Foundation staff, including, but not limited to, monitoring data quality, preparing queries, reports, exports, global changes, imports, event lists, and dashboards?
- Create and manage NPSP reports for Gift Officers as needed as well as utilizing dashboards for Foundation gift tracking
Research
- Work with the Foundation staff and CEO to carry out prospect research, including donor profiles, donor tracking, prospect lists, and donor identification
- Utilize Donor Search and Foundation Search to screen prospects and foundations for capacity, inclination, and suggested ask amounts?
- In conjunction with Donor Search, conduct yearly prospect data pull and screen, to be reviewed and utilized by the Foundation Gift Officers
Development
- Code all donation checks and scan all gifts of $500+ to issue to respective gift officers
- Utilize NPSP to pull tax letter list weekly and produce auto-signed tax letters for donors, including end-of-year sustaining donors, print and mail on a weekly basis
- Write monthly note for “Ship to Shore” newsletter on behalf of the Foundation
- Create Foundation “Ad” in Naval Institute Press Annual Holiday Catalog
- Contact donors with declined credit cards on sustaining gifts
- Take notes and produce meeting minutes for Board of Trustees meetings
- Email follow-up via MailChimp after the appeal letter three times a year.
Administrative
- Maintain the Naval Institute Foundation’s section of usni.org.
- Provide administrative support to the Fundraising team and CEO? assistant as needed
Requirements
- Bachelor’s degree OR equivalent work experience
- 1-3 years of professional experience in database management preferred
- Strong knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint) and overall strong computer and analytical skills
- Experience with constituent record management software or financial database and SalesForce NPSP experience preferred
- Highly detail-oriented with a critical degree of accuracy regarding data entry and analysis
- Self-motivated, adaptable, and able to make decisions and recommendations
- Good communication, interpersonal, organizational, problem-solving, and analytical skills
- Excellent organizational and time management skills, while also having the ability to perform multiple tasks simultaneously while adhering to deadlines and maintaining a high degree of accuracy and confidentiality of data
