Job Title: Operations Assistant
Overview
This role provides essential administrative support and logistics to the operations and overall success of The Challenge Foundation El Paso (TCF El Paso). TCF El Paso empowers motivated and academically inclined students from under-resourced communities to achieve their full potential. Through educational scholarships and comprehensive support, Challenge Scholars are equipped with tools and resources to navigate obstacles and chart their own futures.
The Operations Assistant is a key team member who collaborates with staff, scholars, families, and partners to ensure a seamless and supportive experience for everyone involved. The Challenge Foundation El Paso is in a period of strategic expansion. This entry-level role offers a genuine path for the right individual to advance into a high-impact, comprehensive position that combines operations with direct scholar support.
Key Responsibilities
Scholar & Family Support
- Facilitate clear and effective communication between TCF El Paso, scholars, and their families as a trusted liaison.
- Disseminate information regarding events, meetings, and opportunities to relevant groups.
- Maintain and update the Civicore database bi-weekly to ensure all scholar and family information is current and accurate.
- Other duties as assigned.
Program & Administrative Assistance
- Assist with the recruitment process logistics by preparing applications, coordinating meeting space and needs, and monitoring students during testing.
- Assist with summer program logistics, including managing booking, payments, transportation requests, and student documentation.
- Provide support for the general administrative and operational needs of the El Paso office.
- Maintain accurate records and documentation in Civicore to ensure smooth day-to-day functions.
- Other duties as assigned.
Community & Communications Outreach
- Support the dissemination of information across social media platforms including LinkedIn, Facebook, and Instagram.
- Maintain the program’s social media pages with weekly posts depicting scholar, family, and mentor highlights utilizing brand personality and voice.
- Assist in the design and creation of various communication materials, such as flyers and digital posting while adhering to branding guidelines.
- Document Challenge and Loretto events through photography and written summaries for social media posts and grant requests.
- Maintain a database of testimonies and photos from Challenge alumni and community members to support fundraising efforts.
- Assist in the development of the program’s monthly newsletter and annual holiday video.
Advancement & Fundraising
- Maintain and update the Civicore database bi-weekly to ensure all donor and foundation information is current and accurate.
- Assist with fundraising and outreach logistics by supporting event planning and implementation.
- Other duties as assigned.
Qualifications
Required Education and Experience:
- Bachelor's degree in Education, Communications, Business, or a related field, or equivalent combination of education and experience.
- 2-3 years of related experience
Preferred Education and Experience:
- Proven experience in program coordination or similar roles, preferably in an educational or nonprofit setting.
Required Knowledge, Skills, and Abilities
- Experience working in a non-profit organization, preferably one that serves youth and/or families.
- Exceptional project management and organizational skills, including the ability to prioritize tasks, multitask, and manage time efficiently to achieve positive outcomes.
- Cooperative and engaged team player with strong interpersonal skills and the ability to work successfully with diverse groups, including students, families, community members, staff, and school partners.
- Strong verbal and written communication skills in both English and Spanish.
- Creative thinker with a problem-solving mindset and ability to work independently.
- Proficiency with Microsoft software, Google Suite, familiarity with social media platforms, and experience in preparing marketing materials and other attractive layouts for electronic and printed materials utilizing Canva or similar software.

Pay:
$30,000.00 - $40,000.00 per year depending on experience
