Director of Operations
Clara’s Hope
Purpose of the Role
The Director of Operations ensures that Clara’s Hope operates efficiently and strategically, providing leadership in internal operations, staff coordination, communications, and donor engagement. This position strengthens the organization’s systems, supports staff and board processes, and helps cultivate meaningful relationships with donors and the community—freeing the Executive Director to focus on vision, growth, and external partnerships.
Core Responsibilities
Organizational Leadership & Strategy
- Collaborate with the Executive Director on annual goals, strategic initiatives, and budget oversight.
- Manage the Strategic Plan and track outcomes for board reporting.
- Develop and maintain organizational manuals, policies, and procedures.
- Negotiate and oversee vendor/service contracts.
- Supervise the bookkeeper and ensure financial accountability.
- Assist with board meeting and retreat preparation.
Staff & Human Resources
- Oversee PTO, flex time, and HR records.
- Lead employee reviews and support staff development.
- Plan and facilitate staff meetings and team-building initiatives.
- Foster a positive, mission-centered team culture.
Operations & Administration
- Manage building and grounds, including maintenance, volunteer projects, and seasonal/holiday initiatives.
- Oversee technology and software systems (Google Workspace, GiveButter, Norton, etc.).
- Maintain organizational data tracking and reporting systems.
- Provide administrative and operational leadership for day-to-day activities.
Development & Community Engagement
- Represent Clara’s Hope in donor and community meetings.
- Support fundraising campaigns, events, and relationship-building.
- Collaborate on donor communications and engagement strategies.
Communications & Marketing
- Lead website updates, newsletter creation (digital & print), and Constant Contact management.
- Plan and oversee social media strategy, content creation, and volunteer coordination.
- Create or delegate donor-facing tools, such as Amazon Wish Lists.
Impact
This role ensures that Clara’s Hope runs efficiently, communicates effectively, and engages donors and partners with warmth and professionalism. By strengthening internal operations and cultivating relationships externally, the Director of Operations & Development directly supports Clara’s Hope’s mission to help foster and adoptive families succeed.

- Reports to: Executive Director
- Supervises: Bookkeeper, Other Staff as directed
- Type: Full-Time, Exempt

Qualifications
- Bachelor’s degree in nonprofit management, business, or related field
- 3+ years of leadership experience, preferably in nonprofit or community-based organizations.
- Proven success managing systems, staff, and multiple priorities.
- Strong interpersonal, written, and verbal communication skills.
- Confident in meeting with donors, businesses, and community partners; fundraising experience preferred.
- Proficient with technology platforms such as Google Workspace, GiveButter, Constant Contact, and website CMS tools.
- Strategic thinker with attention to detail and a relational, team-oriented approach.
