Position Overview
The Training and Education Coordinator provides comprehensive administrative and operational support to the Vice President of Industry Education and the Construction Safety Specialists, Inc. (CSSI) team. This position plays a critical role in ensuring the smooth coordination of education, training, and safety service activities by managing schedules, maintaining records, supporting contracts and billing processes, and assisting with events and communications.
The ideal candidate is highly organized, detail-oriented, collaborative, and comfortable managing multiple priorities in a fast-paced, service-driven environment. This role serves as a central point of coordination across education, training, and safety operations while maintaining a strong administrative focus.
Key Responsibilities
Administrative Support
● Provide training support including calendar coordination, document preparation, and meeting support.
● Maintain organized digital and physical filing systems
● Prepare materials for meetings, trainings, and member events
● Assist with general office coordination and internal process support
Education and Training Coordination Support
● Coordinate logistics for education and training programs, including class schedules, room setups, AV needs, and materials
● Research viable and relevant speakers for the industry
● Communicate with speakers and trainers to obtain confirmations, training materials, marketing assets, and coordinate travel and lodging
● Assist with Master Builder Designation applications, rosters, evaluations, and post-event communications
● Support administration of training platforms and programs, including Training Vault and Master Builder Designation records
● Maintain accurate education and training database records
● Assist with speaker contract administration, including Training Contracts, Invoices, and Payments
● Support allocation and tracking of training credentials and certifications
CSSI Operations and Scheduling Support
● Coordinate inspection schedules for CSSI safety professionals
● Track inspection schedules for WORKSAFE projects
● Monitor and track usage of monthly retainer hours for CSSI clients
● Assist with contract administration, tracking service allocations, and supporting billing documentation
● Support allocation and tracking of training credentials and certifications
Data Entry, Reporting and Record Management
● Accurately enter and maintain data across multiple internal systems and databases
● Compile reports, spreadsheets, and summaries for internal leadership and team use
● Ensure accuracy and consistency of training, inspection, and client records
Communication and Coordination
● Draft and distribute basic communications, emails, letters, newsletter articles, and confirmations
● Assist with proofreading and formatting documents and templates
Event and Program Support
- Assist with logistics and preparation for major programs and events, including the Annual Winter Conference and MBI award programs
- Support coordination efforts for special initiatives and education-related projects
- Provide on-site or virtual support for events and trainings as needed
Qualifications
- Associate’s or Bachelor’s degree required
- Minimum 2 years of office or administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Experience with data entry, scheduling and record management
- Strong written and verbal communication skills
- Excellent organizational skills with ability to manage multiple priorities
- Detail-oriented with a customer service mindset and collaborative approach
