Summary:
The Volunteer Manager role at Halifax Humane Society (2364 Lpga Boulevard, Daytona Beach, FL 32124) is critical to the organization's lifesaving efforts. This role is exclusively responsible for planning, organizing, and directing volunteer programs and ensuring the delivery of excellent experiences for agency volunteers. Success in this role will be determined by the ability to identify volunteer needs within the organization and recruit, train, and supervise sufficient volunteers to fulfill those needs. Excellent feedback from active volunteers and strong program performance metrics are measures of success.
Essential Duties and Functions:
- Advocate and support the programs, policies, and procedures of Halifax Humane Society at all times.
- Develop and implement strategies to recruit and train sufficient volunteers to fulfill organizational needs.
- Respond to volunteer program inquiries within 24 hours.
- Interview and screen potential volunteers.
- Oversee orientation and training programs, ensuring alignment with the Society’s mission and philosophy.
- Update materials as needed and seek approval for public-facing information.
- Maintain volunteer personnel records, noting special skills and interests and creating engagement plans accordingly (Galaxy Digital).
- Record volunteer duties and hours in volunteer management software (Galaxy Digital).
- Report all volunteer sign-ups and areas of interest to the CRM Database Coordinator.
- Serve as liaison with all departments and locations to determine and fulfill volunteer needs.
- Conduct volunteer recognition programs.
- Oversee the youth volunteer program.
- Assist in resolving disputes and terminate volunteers not fulfilling required duties when necessary.
- Engage volunteers via social media and publish a weekly electronic volunteer newsletter.
- Practice “Management by Walking Around” and maintain a visible presence across all areas of campus daily, including the Thrift Store and Spay/Neuter Clinic.
- Use volunteer surveys and program data to analyze effectiveness and recommend improvements.
- Manage the volunteer database with timely and accurate data entry, coding, updates, and quality control.
- Protect database integrity by routinely checking for errors, duplications, and inconsistencies.
- Provide detailed and accurate reports as assigned.
- Enhance and maintain ongoing volunteer relationships through consistent communication and engagement initiatives.
- Perform other duties as required to support organizational needs.
Required Qualifications:
- Bachelor’s degree from an accredited college or university preferred; equivalent combination of education and supervisory experience considered.
- Demonstrated supervisory or program management experience.
- Ability to work both independently and collaboratively within a team-based environment.
- Ability to interact professionally and effectively with diverse audiences in person, by phone, and in group settings.
- Demonstrated ability to convey information clearly, professionally, and persuasively in both verbal presentations and written communications.
- Professional in appearance and behavior with a consistently positive and solution-oriented approach.
- Valid and unrestricted Florida driver’s license with a clean DMV record for the past three years.
Knowledge, Skills, and Abilities:
- Experience with volunteer management database systems preferred.
- Knowledge of volunteer supervision techniques, motivation strategies, and decision-making practices.
- Ability to teach, coach, mediate disputes, and solve problems constructively.
- Demonstrated program management knowledge, including budgeting principles.
- Strong interpersonal skills and ability to build partnerships with volunteers and community organizations.
- Ability to work compassionately with animals that may be fractious and possibly attempt to bite or scratch.
- Working knowledge of humane issues and Society policies with the ability to clearly present information in orientations and public settings.
- Excellent organizational skills with the ability to prioritize, manage competing demands, and meet deadlines.
- Proficiency in Windows-based software including Word, Excel, PowerPoint, and related systems.
Mental Demands:
This position operates in a dynamic, fast-paced, and highly interactive environment where interruptions, noise, and shifting priorities are expected. The Volunteer Manager must be comfortable working on-site in a busy setting, maintaining focus and productivity despite frequent in-person questions, phone calls, volunteer needs, and operational distractions. The role requires strong concentration, adaptability, and emotional resilience. The ability to multitask, prioritize effectively, manage stress professionally, and consistently meet deadlines is essential. A high level of accuracy, attention to detail, sound judgment, and independent decision-making is required without reliance on a quiet or isolated workspace.
Physical Demands:
While performing the duties of this job, the employee is frequently required to reach with hands and arms and to stand, walk, sit, stoop, kneel, or crouch. The employee must frequently lift and/or move up to 50 pounds and occasionally lift and/or move up to 100 pounds. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The position requires extended periods on one’s feet, outdoor work, desk and computer work, and travel by car for off-site responsibilities.
