This position is responsible to the Small Business Development CenterManager and provides administrative, coordination, and operational support tothe SBDC team, including the SBDC Coordinator, advisors, and instructors. Theposition assists with scheduling, client intake and referrals, communications,data management, and supports compliance-related administrative processesrequired by the SBDC program. This role also facilitates business procedureswith other departments and enhances the image of the department and the Collegethrough effective public relations and community engagement.
Responsibilities
Serve as receptionist/answer SBDC telephonecalls, send faxes and maintain a log regarding e-mail contacts from clients.
Manage confidential client information andrecords, including intake forms, client correspondence, evaluations, anddocumentation required for SBDC reporting.
Assist with marketing and outreachactivities, including preparing the SBDC e-newsletter and posting regularcontent on SBDC social media platforms to promote workshops, programs,success stories, and events.
Prepare necessary materials for SBDC seminarsand public speaking events.
Type, proofread correspondence, and copymaterials.
Assist with the maintenance of necessaryrecords/files relating to: Seminar offerings/seminar outlines; books, materialsand media; client records/correspondence by company; and the departmentaldatabase.
Maintain regular and professionalcommunication with SBDC advisors, instructors, vendors, SBDC Network andcollege departments.
Maintain and update client records andcommunication lists in SBDC systems, ensuring accuracy, consistency, andcompliance with reporting requirements.
Assist with registration information forindividuals or companies as needed.
Maintain office files and supplies.
Process accounts payable activities,including preparing and submitting payment requests, requisitions, andsupporting documentation for the SBDC team, advisors, instructors, and vendors,in coordination with internal college departments and following establisheddeadlines and procedures.
Perform other duties as may be assigned.
Minimum Qualifications
High school diploma or equivalent.
Two years’ related secretarial experience.
Bilingualin Spanish/English, required.
Working knowledge of Windows and Microsoft OfficeSuite.
Goodcommunication and human relations skills.
Basicaccounts payable or administrative financial processing experience.
Socialmedia Posting Experience Preferred.
