Who We Are
The Marshall Project is a nonprofit news organization dedicated to covering the U.S. criminal justice system.
We were awarded the Pulitzer Prize in 2016 and 2021. We have also been honored with the Goldsmith Prize, multiple National Magazine Awards, and an award for General Excellence from the Online Journalism Awards. We are not advocates — we follow the facts and do not pander to any audience — but we have a declared mission: to create and sustain a sense of urgency about the criminal justice system.
We do not generally cover breaking news, although we curate the reporting of other news outlets in our morning newsletter. Our work includes investigative and explanatory projects and shorter pieces aimed at highlighting stories that other news organizations miss, underestimate or misunderstand. To ensure our work reaches a larger audience, we partner with other media outlets; we have worked with more than 200 newspapers, magazines, broadcasters and online sites.
The Executive Manager to the CEO is a senior support and coordination role responsible for managing the day-to-day operations of the CEO’s office and ensuring that the CEO’s priorities are executed effectively across the organization. This role oversees and integrates the work surrounding the CEO by tracking key initiatives, preparing and synthesizing materials for meetings, coordinating closely with department leaders, and ensuring timely follow-up on the CEO’s directives and commitments.
Acting as the central hub for information and workflow into and out of the CEO’s office, the Executive Manager to the CEO helps shape agendas for leadership and board meetings, drafts and refines communications on the CEO’s behalf, and monitors progress on strategic projects, proactively flagging risks, and decisions that require the CEO’s attention. The role demands exceptional judgment, discretion, and relationship-building skills, as well as strong written and verbal communication. The Executive Manager to the CEO role is to amplify the CEO’s impact by organizing, prioritizing, and operationalizing the CEO’s work, relationships, and interactions across the organization.
Essential Duties and Responsibilities; other duties may be assigned:
- Support the office of the CEO in a range of duties
- Travel arrangements: preparation and communication of itinerary for the CEO and other colleagues, as necessary.
- File expense reports for the CEO
- Act as a gatekeeper for the CEO’s time (screening requests, access)
- Track key projects, strategic initiatives and ensure follow‑through on CEO commitments and that the CEO has proper deadlines and metrics to achieve TMP’s goals and priorities.
- Research and draft communication and speeches for the CEO.
- Assist the Chief Strategy Officer by staying informed on industry trends and working with the CSO and Development Director to develop a list of grant opportunities and other revenue streams that could benefit TMP.
- Manage activities and communication for the board of directors and our advisory board(s): prepare materials for meetings and calls; attend all regular and committee meetings; record and circulate minutes and other materials.
- Prepare, proofread, and format presentations, reports, and board decks for TMP’s executive leadership team.
- Create a Board Portal to develop and store spreadsheets and databases to maintain current information for members of the board and advisory board(s) and all of their materials and for the CEO.
- Oversee the calendar for board and advisory board(s) including scheduling of meetings in advance.
- Assist with the preparation of fundraising initiatives and other TMP programs, communication with donors, prospect outreach, with oversight by the Director of Development and other executive leaders who are managing events throughout the year.
- Office Administration: Lead logistical functions within the office such as managing the office calendar, booking conference rooms, handling relations with office landlords, and registering visitors. Ensure smooth operations in office space management.
- Interface with prospects, senior officers and staff on a daily basis.
- Participate in the implementation, planning and coordination of special events as assigned.
- Take on special projects, strategic initiatives, and related duties as assigned.
- Schedule monthly full staff meetings.
- Staff Retreats: Research, plan, and manage logistics for company-wide staff retreats, working with vendors and departments to ensure that retreats are impactful, engaging, and aligned with company culture.
Preferred Skills and Experiences:
- 5+ years supporting C-level executives or senior leadership.
- Experience supporting board governance processes, including preparing materials, coordinating meetings, and recording formal minutes
- Demonstrated ability to act as an extension of executive leadership, exercising sound judgment and independent decision-making with minimal supervision
- Experience tracking cross-functional strategic initiatives and ensuring follow-through across departments
- Demonstrated ability to act as an extension of executive leadership, exercising sound judgment, analysis and independent decision-making with minimal supervision.
- Experience planning and coordinating executive-level meetings, company-wide retreats, or organizational events
- Experience overseeing office operations or facilities coordination in a professional environment preferred
- Proven ability to manage complex, high-volume executive workflows while maintaining strict confidentiality
- Advanced calendar management across multi-stakeholder and time-zone environments
- Strong project management skills, including monitoring deadlines, risks, and executive priorities
- Proficiency with MS Office / Google Workspace and virtual collaboration tools
Compensation and Benefits
This job is full-time, with a competitive salary and benefits including: 100% employer-paid medical, employer subsidized vision and dental insurance; matching traditional and Roth 401k (immediate vesting). We also observe 17 days of paid time off each year (in addition to office closure between Dec. 24 and Jan. 2), and provide paid parental leave.
Annual Salary Range: $110,000-$115,000
We are headquartered in New York City, and although this position is fully remote, applicants must reside in the United States and possess the necessary authorization to work here. Remote work outside of the U.S. is not allowed under any circumstances.
