Job Purpose and Scope
The Home & Furniture Administrative Assistant is responsible for supporting the team and GMM/DMM with administrative functions and special projects. This role involves managing calendars, coordinating travel, preparing reports, onboarding new team members, and overseeing office supplies. Additionally, the assistant will handle special projects, including managing programs and communications, maintaining documentation, and providing store-facing reports. With a focus on efficiency and organization, this position requires excellent communication and multitasking skills to ensure seamless support and project execution.
Essential Job Functions
• Maintain the master calendar for the team and GMM/DMM, including meetings, market schedules, and travel.
• Coordinate travel arrangements for GMM/DMM.
• Create/Manage Expense reports for GMM/DMM.
• Approve Expense reports for team members except GMM/DMM.
• Create store visit reports for GMM/DMM.
• Manage office supply needs and place orders as necessary.
• Assist with onboarding new team members, including pre-arrival office arrangements, equipment setup with IT, and adding to necessary email indexes.
• Maintain chargeback documentation and transmit quarterly.
• Monitor weekly payroll reports to ensure the roster is current and maintain the file once reviewed.
• Coordinate conference rooms as needed for team meetings, vendor meetings, etc.
• Act as the team’s “Social Coordinator,” tracking birthdays, showers, and other milestones deserving of celebration.
• Serve as the contact point for Southern Living special projects, visits and reporting.
• Coordinate and send the monthly team newsletter and weekly update email, using tools such as Canva and pre-built Excel forms.
• Provide monthly store-facing reporting.
• Maintain and update the Google Site, including events and contests, directives/product knowledge, and other updates.
Knowledge, Skills & Abilities
• Familiarity with administrative and office management procedures.
• Understanding of travel coordination and expense reporting.
• Knowledge of retail operations and store communication.
• Exceptional organizational and time management skills.
• Strong communication and interpersonal skills.
• Proficiency in Microsoft Office Suite and other relevant software.
• Ability to create and manage reports and presentations.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Strong attention to detail and accuracy.
• Ability to build and maintain positive relationships with team members, vendors, and store personnel.
• Ability to handle confidential information with discretion.

Position Requirements
Basic Qualifications:
• Bachelor's Degree in Fashion Merchandising, Business, or a related field required.
• 3+ years of experience in an administrative or support role preferred.
• Proven experience in managing calendars, travel arrangements, and expense reports.
• Previous experience working with cross-functional teams and managing special projects.
