Job description:
Under the supervision of the Chief Operating Officer, this position will manage IBA partnerships and relationships involving IBA, Indiana Mortgage Bankers Association, Indiana CRA Bankers Association, and other future opportunities that may arise. This will include the management of the IMBA Board and subsequent committees, setting meetings and agendas, and strategizing future development within these partnerships. This role is also responsible for the operation of the IMBA and ICRABA and execution of IMBA events, communications, finances and other components. This position serves as the primary organizer of the IMBA’s State Convention, and various conferences and other educational programming; including the creation of content, sponsorships, registrations, and financials. This position communicates with IMBA leadership to execute the business of the IMBA. This role will also oversee the IBA’s interaction and involvement with IBA associate members, engaging associate members in various advertising and sponsorship opportunities, through the use of marketing packages.
Key Duties and Responsibilities with IMBA
1. Serves as executive director for the IMBA and provides overall leadership for IMBA activities to ensure it achieves its mission, yearly and long-range goals and objectives.
- Develops IMBA’s strategic “positioning” along with the Association’s volunteer officers; builds membership commitment to central strategies and action plans; maintains the harmony and integrity.
- Initiates programs and allocates resources to fulfill IMBA’s mission with regard to legislative and regulatory areas, educational programs, communications and issue-based research; furnishes appropriate assistance to the Indiana Department of Financial Institutions and other government and quasi-government agencies.
- Operates the Association in a financially responsible and cost-effective manner.
- Identifies and develops a continuing stream of volunteer leaders.
- Builds coalitions and motivates various groups into action favorable to IMBA.
- Responds decisively to unexpected and crisis situations that impact the core interests.
- Serve as IMBA liaison for various IMBA committees. To strategize and collaborate regularly for the organization of the IMBA’s Production, Compliance and Technology Conferences. Communicate committee work to IMBA leadership.
2. Administers the affairs of the IMBA.
- Prepares and recommends yearly budget; monitors income and expenses; controls capital expenditures; assures conformity to established policies and procedures. Reviews all expenditures of the association and subsidiaries and provides approval for expenses greater than $5,000. Is a check signer for all checking accounts. Reviews transfers of cash among the accounts to assure adequate cash flow. Reviews all GL transactions that impact the monthly financial statements provided to the IBA Board of Directors.
- Assures that appropriate segregation of duties and control of assets procedures are established and adhered to so that the risk of fraud is reasonably mitigated.
- Assures the commitment and contribution of volunteer leadership by supporting the work of the Board of Directors, standing committees and task forces.
- Prepares Board Meeting and Executive Committee meeting minutes.
- Anticipates the Association’s needs and recommends policy changes to the Board; suggests courses of action on issues and priorities; plans ahead on staff requirements, space and equipment.
3. Supports local chapter activities and functions of the IMBA.
- Serve as IMBA liaison for local chapters and support their efforts for engaging new and existing members.
- Provide communication to strategize and implement initiatives for the benefit of all chapters.
- Provide support to chapter leaders in event set up, communication and marketing.
- Provide training in Wild Apricot for chapter account administrators as needed.
- Review and finalize chapter financials and submit payment requests for ACH distribution of chapter funds monthly.
4. Provides communication of legislative and regulatory matters with support of the IMBA Government Relations Team.
- In conjunction with the IMBA GR Team, this position interfaces with federal branches of government on key issues; participates in MBA leadership meetings usually held in Washington, D.C.
- Works with volunteer officers, the Board and Legislative/PAC Committee in development of coordinated programs.
- Creates grassroots advocacy opportunities.
- Networks with the MBA, state mortgage banking organizations, trade associations, legislative/regulatory/ executive contacts, and other parties to impact legislation and regulation; participates in education and calling activities; socializes with identified centers of government influence.
- Works with and participates in fund raising for IMBA PAC; cooperates on appropriate political action programs.
5. Provides leadership in education and training activities.
- Monitors the growth and cost-effectiveness of various offerings; initiates change and makes suggestions, as required.
- Encourages innovation and marketing to identified member market segments; coordinates with regional and national banking industry groups to provide quality programming.
- Serves as the primary organizer and architect for the IMBA State Convention, IMBA Production, Compliance and Technology Conferences and the IMBA Future Leaders Program; including setting the agenda, securing meeting venues, coordinating catered meals for meetings, securing speakers and presentations, marketing events, and obtaining registrations and sponsorships.
- Enter events and details into Wild Apricot, including registrations and sponsorships.
- Serve as a customer service contact, handling meeting questions and details. Generate invoices and receipts.
- Prepare name badges, registration lists, evaluation forms, manuals, and all related meeting materials. Is responsible for meeting reports for all education events.
- Handles registration check-in.
- May utilize IBA Professional Development staff as needed for event preparation.
- Oversee the compiling of all program evaluation results and prepares reports.
- Oversee the setting up and management of all marketing efforts for educational events, including broadcast email, direct mail and social media marketing.
6. Oversees the IMBA Annual Partnership Program (APP).
- Market the APP and work with potential partners to establish a customized package that can include specific sponsorship, registration and advertising items.
- Implement the recognition and benefits that are due the APP members.
7. Works with IMBA Communications personnel to communicates news, analyses and pertinent information to identified publics.
- Sees that the INgage newsletter and other valued materials are distributed to the membership; surveys readership interests and satisfaction with present publications.
- Disseminates IMBA positions, industry information and professional articles to the media, government officials and key publics.
- Provides an information base for members on current topics; gathers news from members.
- Assures the effectiveness of public relations activities.
8. Recommends, assigns and monitors issue-based research projects.
- Assists in determining issues for research and ascertaining whether the research is “bought” outside or produced internally.
- Disseminates results to the membership and other identified publics.
- Participates in outside professional, civic and community affairs on behalf of the Association.
- Performs additional duties, as required or assigned.
Key Duties and Responsibilities with ICRABA
1. Manage and oversee monthly membership Zoom meetings.
- Send meeting reminders.
- Send meeting agenda.
- Monitor the actual call.
2. Manage and oversee annual in-person meeting.
- Reserve meeting location.
- Create registration link and monitor incoming registrations.
- Plan menu and reserve caterer.
- Attend, monitor and manage the event.
Key Duties and Responsibilities with IBA
1. Engage with potential IBA associate member organizations to discuss the benefits of IBA membership and the various opportunities that can be accessed.
2. Engage IBA associate members in various advertising and sponsorship opportunities, primarily through the use of marketing packages.
3. Create customized marketing package proposals and agreements that include event sponsorships, registrations, advertising, dues and other items.
4. Communicate marketing package progress to IBA staff and create necessary vouchers for redemption.
5. Following marketing package campaigns, ensure that participating associate members are receiving the benefits and recognition due throughout the remainder of the year.
Qualifications/skills requirements
A proven leader of volunteers who can influence disparate publics toward organizational goals. Maturity, savvy, persuasiveness, flexibility, physical and mental stamina, a high tolerance for frustration and demonstrated interpersonal competence are necessities. This “thinker-doer” might be an association executive, college administrator, agency official, city manager or in related jobs. Any candidate must have the talent to learn the financial services business. College graduate, MBA or relevant advanced degree preferred. Must be flexible as to hours of work and travel. Demonstrated knack for getting strong results with relatively limited resources.

Salary Range: 70,000.00 - $75,000.00 per year
