Aviation Communications and Outreach Coordinator
Position Overview:
The Aviation Communications and Outreach Coordinator is responsible for communications projects, community outreach, education programs, social media, and print material supporting universities that offer aviation programs. The coordinator supports the organization's events and initiatives at the high school and college level and industry-wide activities. Assists and supports collegiate aviation and aviation career awareness across multiple aviation associations. This position reports to the Executive Director and collaborates closely with other team members.
Key Responsibilities:
1. Public Outreach and Event Coordination:
- Organize, attend and present at high school and association events promoting collegiate aviation and the aviation industry as a career choice.
- Assist in organizing events, process registrations and provide on-site member services.
- Assist prospective students and their parents in gathering the necessary information they need to make an informed decision about the array of opportunities for careers in aviation.
- Supervise the organization of volunteers, students, and industry support for aviation careers outreach.
2. Publications:
- Responsible for gathering information and is the contact person for printed material (collegiate aviation guide, scholarship catalog) and digital monthly newsletter.
- Ensures the timeliness of production and accuracy of content. The Graphic Designer also performs tasks related to website content updates and electronic communications.
- Manage administrative tasks related to membership services, including processing payments and preparing reports.
- Create and distribute member communications, such as newsletters and email updates.
- Collaborate with marketing to distribute association event and initiative material.
3. Communications, Social Media and Program
- Develop public education and information materials, presentations and displays
- Creating and distribute social media posts.
- Contribute to the association’s newsletters, media/news media outreach and website content.
- Provide follow-up correspondence to members and prospective members via in-person meetings, e-mail, telephone, and U.S. mail.
- Provide support to various UAA committees, aiding in communication and fostering relationships with university aviation faculty and staff to support their needs and enhance member participation.
4. Exhibitors and Sponsorship:
- Attend and assist with Committee meetings directly related to events.
- Engage in the planning and execution of expositions.
- Communicate with exhibitors regarding the logistics of upcoming events.
- Maintain accurate records of sponsorship for educational and outreach events.
- Communicate pertinent information to team members to support invoicing and sponsor recognition in print and on website.
5. Financial:
- Monitor event budgets, and support the overall financial success of the organization.
6. Database:
- Accurately enter events into the membership database, including speaker requests, writing promotional emails, updating calendars of events, and processing event registrations.
7. Travel:
- Travel to community and association events to exhibit.
- Must be able to lift 40 lbs.
- Estimated travel may be 10%.
Qualifications:
- Bachelor’s degree or equivalent work experience in a related field.
- Experience or familiarity in the field of aviation preferred.
- Experience in community relations, public affairs, communications, or a similar role.
- Strong organizational and logistics skills needed.
- Strong writing and oral presentation skills essential.
- Ability to work collaboratively in a team environment.
- Knowledge and experience in working with diverse communities
